Position Details
The Office of General Counsel at the University of Lethbridge is seeking applications for the position of Legal Administrative Assistant. This is a continuing, full-time position reporting to General Counsel. This position is exempt from the bargaining unit.

The Legal Administrative Assistant is a key member of the Office of the General Counsel. This position ensures that the support activities necessary for the effective operation of the Office are reliably and appropriately provided. This position is required to consistently apply principles of confidentiality and privacy; demonstrate knowledge of legal/office risk management practices; and exercise independent judgment and knowledge of routine legal documents, the University’s legal operations, and the affairs of General Counsel. As Legal Administrative Assistant, this position is responsible for coordinating and managing confidential and privileged information in an efficient way to enable proper function of the Office and completing projects by specific deadlines.

Administrative support is also provided by this position to the Privacy Office (through legal counsel), as a reporting unit within the Office of General Counsel. This support includes assistance with the conflict of interest program administration, information requests, data compilation and template management, and development and maintenance of the University’s FOIP (Freedom of Information and Protection of Privacy Act) notification database. The Legal Administrative Assistant also provides lower-level office support to the Director, Internal Audit as well as assistance with Legislative Compliance analysis and reporting under PIDA (Public Interest Disclosure Act).

The successful candidate will:
  • Act as the primary point of contact for the University’s legal services department
  • Manage inquiries for legal services
  • Research and analyze information for General Counsel
  • Perform and review various registry searches
  • Draft routine legal documents and correspondence
  • Develop and maintain information and data management systems for contract and template review/development and legal matter files
  • Liaise with members of Senior Administration concerning their faculty/program/unit legal needs
  • Assist with scheduling and calendar maintenance
  • Assist with projects and perform other duties as assigned
Hiring Range: $4,656.60 – 5,173.27

Position Qualifications
The ideal candidate will have a Legal Assistant program diploma from a recognized post-secondary institute, with 4-7 years related work experience, or an equivalent combination of education and experience.
Certification in Legal Office Administration/Management, familiarity with Alberta registry systems, CORES accreditation and/or experience with the Freedom of Information and Protection of Privacy Act would be an asset.

The successful incumbent will have in depth computer skills including data processing experience, excellent time management and organizational skills, excellent attention to detail, and an ability to work independently. Given the confidential and sensitive nature of some information, the incumbent must be mature and able to exercise professional discretion. The ability to maintain effective working relations with colleagues and the community is essential.

The successful candidate will be required to provide a satisfactory Criminal Record Check.
