Legal Assistant – Wills and Estates
We are seeking an experienced Legal Assistant with at least five years of relevant experience to support a busy wills and estates practice. The successful candidate will provide high-quality administrative, client-service, document-production, and accounting support to the lawyer and clients, with a strong focus on accuracy, confidentiality, organization, and professionalism.
Key Responsibilities
· Prepare, revise, proofread, and finalize wills, powers of attorney, estate administration documents, correspondence, reporting letters, and related legal documents.
· Open, maintain, organize, and close physical and electronic client files in accordance with firm procedures and confidentiality requirements.
· Communicate professionally with clients, beneficiaries, financial institutions, government offices, accountants, court staff, and other law firms.
· Coordinate probate filings with the Court.
· Maintain wills and powers of attorney databases, ensuring accurate storage, retrieval, and tracking of original documents.
· Prepare invoices, trust requests, and cheque requisitions.
· Use QuickBooks to assist with invoicing, expense tracking, accounts payable and receivable, reconciliation support, and financial record organization.
· Monitor incoming mail, email, courier deliveries, and client communications.
· Support the lawyer with general administrative tasks, including scanning, photocopying, filing, document assembly, and meeting preparation.
Qualifications and Experience
· Minimum five years of experience as a Legal Assistant, preferably with direct experience in wills and estate administration.
· Strong working knowledge of wills and estates terminology, procedures, documentation, and file workflows.
· Proficiency with Microsoft Word, Outlook, Excel, PCLaw, QuickBooks and electronic file organization.
· Excellent proofreading, grammar, formatting, and document-production skills with a high level of attention to detail.
· Strong organizational skills and the ability to manage competing priorities, deadlines, and confidential information.
· Professional, compassionate, and client-focused communication style.
· Ability to work independently, take initiative, follow instructions carefully, and contribute positively to a collaborative legal team.
· Legal Assistant, Law Clerk, or related post-secondary education is considered an asset.
Employment Details
This is a full-time in-person position suited to a mature, organized, and detail-oriented professional who enjoys supporting clients and a lawyer in a trusted advisory practice. Compensation will be commensurate with experience, qualifications, and demonstrated knowledge of wills and estates administration and QuickBooks, with a range of $50,000 to $55,000 annually.
Pay: $50,000.00-$55,000.00 per year
