MINIMUM FORMAL EDUCATION/TRAINING:
- Completion of a formal training program in a related discipline from a recognized institution required.
EXPERIENCE:
- Two years of directly related office experience required.
- Experience using Microsoft Excel, Adobe Acrobat, online calendars and purchasing software system is required, preferably EPIC.
- Familiarity with website maintenance software preferred.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS AND ABILITIES:
- Proficient with Microsoft Office applications, specifically Word, Powerpoint and intermediate Excel and Adobe Acrobat is required.
- Knowledge of University of Manitoba's specific software such as EPIC and FAST preferred.
- Must be familiar with operation and general functions of office machines.
- Ability to cooperate well with others in the environment is required.
- Ability to interact courteously, diplomatically and professionally with a variety of people, including academics, researchers, fellow workers, students and the general public is required.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
OTHER JOB RELATED QUALIFICATIONS:
- Physically capable to perform duties of the position that may require lifting or moving boxes of files or material.
- Acts as first point of contact to greet and assist faculty, students, staff and visitors to the Department.
- Keep apprised of student, teaching and academic events, news and meetings. Posting/emailing news and events as required.
- Opening and closing procedures for the general office.
- Management and timely handling of incoming and outgoing mail, deliveries, shipments and packages.
- Ensure proper documentation for international shipments and arrange courier.
- Act as main administrator for the Department Outlook Calendars to reserve meeting rooms, computer, technical equipment and vehicles ensuring no conflicts.
- Ensure maintenance and good operation of the department copier/printer/scanner, laptops and office equipment.
- Keep record of and assign photocopier codes to new employees and students.
- Maintenance and update of department website and newsletter.
- Prepares and distributes Advance Plant Science Seminar posters and notices
- Acts as moderator for email distribution lists keeping current.
- Assists to arrange and setup seminars and other events.
- Acts as secondary order desk assistant and/or back up in the absence of the Order Desk assistant.
- Keep apprised of purchasing policy and procedures as cross-trained back up.
- Arranges water deliveries, confidential shredding pick-ups, recycling of toners and batteries.
- Provides support to the HR and Financial Administrative Assistant.
- Assist with file maintenance, retention and destruction, electronic or hardcopy.
- Other duties as assigned.
