About Coldmatic
Coldmatic Building Systems is a growing Canadian manufacturer and contractor specializing in insulated building systems, cold storage, controlled environments, and related products.
With annual revenue approaching $10 million, we are looking for a hands-on Senior Accountant who can take ownership of our day-to-day accounting function while improving our financial reporting, controls, job costing, and processes.
This is a long-term opportunity designed to develop into a Controller-level role for the right person.
The Opportunity
As Senior Accountant, you will independently manage Coldmatic’s full-cycle accounting function, including customer invoicing, sales orders, Accounts Payable, Accounts Receivable, payroll, reconciliations, month-end close, and financial reporting.
You will work directly with company ownership and management to monitor cash flow, strengthen job costing, analyze project profitability, and build scalable financial processes.
This is not a narrowly defined accounting position. You will remain closely involved in transactional accounting while gradually assuming greater responsibility for financial planning, reporting, controls, and the future development of the finance function.
Essential Qualifications
To succeed in this role, you should have:
- Approximately four to seven years of progressive accounting experience.
- Strong full-cycle accounting experience.
- Experience independently completing month-end close and preparing financial statements.
- Strong knowledge of general ledger accounting, Accounts Payable, Accounts Receivable, payroll, accruals, and reconciliations.
- Experience preparing customer invoices and creating sales orders.
- Strong Microsoft Excel skills.
- Experience using QuickBooks or comparable accounting software.
- Strong analytical and problem-solving abilities.
- Excellent attention to detail and financial accuracy.
- The ability to manage multiple deadlines with limited supervision.
- The confidence and professionalism to work directly with company ownership and senior management.
- A proactive approach to identifying, investigating, and resolving financial issues.
Experience in manufacturing, construction, distribution, project-based businesses, or job-costing environments is strongly preferred.
A CPA designation or progress toward one is considered an asset.
What You’ll Do
Month-End Close and Financial Reporting
- Own the monthly accounting close process.
- Prepare monthly income statements, balance sheets, and supporting schedules.
- Maintain and reconcile the general ledger.
- Prepare journal entries, accruals, allocations, and month-end adjustments.
- Reconcile bank accounts, credit cards, loans, payroll accounts, and other balance-sheet accounts.
- Maintain fixed-asset and depreciation schedules.
- Prepare monthly financial reports for management.
- Assist with budgeting, forecasting, and cash-flow planning.
- Identify unusual transactions, discrepancies, or financial risks and take responsibility for investigating them.
Customer Billing and Accounts Receivable
- Create customer sales orders in the accounting system.
- Prepare and issue accurate customer invoices.
- Apply customer payments, deposits, credits, and adjustments.
- Monitor outstanding receivables and follow up on overdue accounts.
- Prepare Accounts Receivable aging and collections reports.
- Reconcile customer accounts and resolve billing or payment discrepancies.
- Coordinate with sales and operations to ensure invoices accurately reflect project requirements and completed work.
Accounts Payable
- Review and process supplier invoices.
- Perform three-way matching and confirm appropriate general-ledger and job-cost coding.
- Prepare weekly AP reports and payment documentation for management approval.
- Process approved vendor payments.
- Reconcile supplier statements and investigate discrepancies.
- Monitor upcoming payment obligations and assist with cash-flow management.
Payroll and Government Reporting
- Prepare and process company payroll.
- Review employee timesheets and ensure labour costs are allocated accurately.
- Maintain payroll records, vacation accruals, deductions, and payroll clearing accounts.
- Prepare and reconcile annual T4 slips.
- Prepare WSIB reports and other required government remittances.
- Assist with HST/GST filings and reconciliations.
- Ensure payroll and statutory deadlines are met.
Job Costing and Operational Finance
- Allocate labor, materials, subcontractor expenses, and other costs to the appropriate projects.
- Assist management with job-costing and project-profitability analysis.
- Monitor project margins and investigate unexpected costs or discrepancies.
- Improve the accuracy and consistency of cost allocation.
- Work with operations and sales to ensure financial information is captured correctly throughout the order and project lifecycle.
- Develop reporting that gives management better visibility into project and company performance.
Year-End, Controls, and Process Improvement
- Prepare year-end working papers, reconciliations, and supporting schedules.
- Coordinate with the company’s external accountants.
- Provide documentation for year-end financial statements and tax filings.
- Assist with audit or review engagements where required.
- Identify weaknesses or inefficiencies in existing accounting processes.
- Recommend and implement practical improvements.
- Strengthen financial controls and accounting documentation.
- Improve the company’s use of QuickBooks and other internal systems.
- Help build scalable accounting processes as the company grows.
