We are looking to hire a full-time Senior Legal Administrative Assistant / Legal Assistant - Estate Planning, Probate and Estate Administration.
Duties/responsibilities:
Client intake for new potential clients;
Client identification and verification tasks;
On-boarding new clients;
Drafting letters and other documents from templates;
Corresponding with third parties regarding information/document requests;
Drafting probate application documents, from templates;
Filing applications with the probate registry - online or through a filing agent;
Commissioning affidavits with clients (having commissioners licence/stamp would be an asset);
Knowledge and experience with the probate process and the estate administration process would be an asset;
Organizing digital and paper file documents (saving and naming files consistently, foldering, etc);
Drafting estate planning documents, such as wills, enduring power of attorney agreements, and representation agreements, from templates;
Coordinating client appointments;
Managing and keeping up-to-date task lists/file statuses;
Filing Notice to Creditors in the BC Gazette;
Preparing Reporting letters from templates and incorporating notes from the file;
Managing own time keeping with requisite detail and a value-oriented approach/style;
Performing BC Online searches for corporate summaries, title search and PPSA searches;
Preparing authorizations/FOI documents on clients' behalf;
Stripping/closing files;
Performing wills notice and other searches from Vital Statistics;
Working with outside vendors such as couriers and agents;
File management including assistance with review of bills, drafting invoice cover letters, and managing monetary retainers and their replenishment; and
Generally, assisting in a variety of administrative tasks as they arise.
Qualified candidates will have attained a Legal Assistant or Paralegal Certificate or Diploma and have at least 2 years experience working in a legal administration role.
