We are seeking a highly organized and proactive Project Coordinator to join our growing environmental graphic design team. This role is ideal for someone who enjoys managing multiple projects, keeping teams on track, and contributing to a collaborative creative environment. We are looking for an experienced professional who can bring proven systems, best practices, and process improvements from previous experiences to help strengthen how our studio plans, manages, and delivers projects while supporting the Principal and project team in achieving successful outcomes.
As Project Coordinator, you will play a key role in supporting project delivery by coordinating schedules, tracking tasks, managing project documentation, and facilitating clear communication between team members and stakeholders. A primary objective of this position is to help streamline project operations and relieve the Principal of day-to-day coordination, administrative, and follow-up responsibilities, allowing them to focus on client relationships, business development, and strategic project leadership.
The ideal candidate is a proactive, highly organized team player who takes initiative and is willing to support the broader needs of the organization. In addition to project coordination responsibilities, you will assist with administrative, operational, and marketing-related tasks as required. This role is best suited to someone who enjoys wearing multiple hats, thrives in a collaborative environment, and takes ownership of tasks to help drive the success of both projects and the overall business.
Responsibilities
- Coordinate project schedules, timelines, and deliverables across multiple projects.
- Track project progress and ensure deadlines are met.
- Organize and manage team task lists, priorities, and workflows.
- Support communication between designers, clients, vendors, and project stakeholders.
- Maintain project documentation, files, and reporting systems.
- Assist with proofreading presentations and project documents.
- Support social media content scheduling and account updates.
Qualifications
- 2+ years of experience in project coordination, project administration, studio management, or a similar role.
- Demonstrated experience implementing or managing project management software and workflows.
- Proficiency with project management and collaboration tools (Microsoft planner, Monday.com, ClickUp, Trello, or similar) in a Apple Mac based studio.
- Proficiency with Microsoft Office, Adobe CC experience is a plus
- Strong understanding of project scheduling, resource planning, and team coordination.
- Experience improving operational processes within a creative, design, architecture, signage, marketing, or related environment is highly desirable.
- Comfortable supporting team members in project management systems and best practices.
- Exceptional organizational and time-management skills.
- Strong attention to detail and ability to manage multiple priorities simultaneously.
- Excellent written and verbal communication skills.
- Comfortable working in a collaborative team environment.
- Experience proofreading documents and presentations.
- Familiarity with social media platforms and content scheduling tools is an asset.
Pay: $30.00-$35.00 per hour
