Lavender & Lemon Cleaning
Position Overview
Lavender & Lemon Cleaning is seeking a reliable, organized, and proactive Client Relations & Operations Coordinator to support the daily administrative operations of our growing cleaning company. This role is primarily remote and focuses on scheduling, client communication, invoicing, and team coordination.
Compensation
- $20.00 per hour
- 8-10 hours per week
- Salary-based position with flexible scheduling
- Hours increase as company grows
Key Responsibilities
Scheduling & Team Coordination
- Coordinate scheduling for all new clients by communicating with both clients and team members.
- Manage employee sick calls and late notifications.
- Monitor clock in and clock out times
- Communicate schedule changes, delays, and rescheduling needs to clients in a timely and professional manner.
- Arrange substitute team members when available to minimize service disruptions.
- Ensure clients are informed of any delays or schedule adjustments.
Invoicing & Payment Management
- Prepare and send weekly invoices to clients following completed cleaning services.
- Monitor and record incoming client payments.
- Communicate with management regarding any billing discrepancies, missed invoices, or situations requiring discounts or billing adjustments.
Client Communication
- Serve as the primary point of contact for all client communications.
- Respond to client inquiries regarding:
- Schedule changes
- Time adjustment requests
- Service-related questions
- Special requests for upcoming cleans
- Maintain professional, prompt, and friendly communication that reflects the Lavender &Lemon Cleaning brand.
Documentation & Record Keeping
- Maintain accurate records of employee attendance, including:
- Sick days
- Late arrivals
- Missed or delayed clock-ins
- Utilize company Google Drive systems and documentation processes to ensure records remain organized and accessible.
Monthly Team Meetings
- Participate in monthly team meetings.
- Review company performance, team member performance, client feedback, and opportunities for growth and improvement.
- Contribute ideas to improve operations, efficiency, and customer satisfaction.
Work Expectations
- This position is based on an average commitment of 8 hours per week.
- No formal clock-in or clock-out requirements.
- Flexibility is provided in how hours are completed, provided responsibilities are fulfilled promptly.
- Team members may occasionally communicate outside standard business hours regarding next-day scheduling issues.
- The expectation is that urgent client communications and rescheduling efforts are completed before the affected cleaning appointment whenever possible.
