MAIN FUNCTION OF POSITION:
Under the general direction of the Business Manager and the Department Head, the successful candidate will be responsible for independently providing confidential executive administrative assistance to the Department Head and Business Manager.
Duties Include:
- Confidential executive assistance to the Department Head and Business Manager, Department of Otolaryngology – Head & Neck Surgery in the capacity of University of Manitoba, Shared Health and Government officials.
- Coordinating and maintaining the Department Head’s Outlook calendar with respect to surgeries, meetings, clinics, and teaching sessions.
- Assigns, creates and distributes call schedule including submission of monthly schedules to WebXchange, DOCCS systems and paging offices.
- In conjunction with the Department Head, assign and distribute surgical slates and manage scramble time.
- Planning and managing all aspects of and attending annual faculty retreat.
- Provide administrative support to the Promotions and GFT Executive Committees, including coordination and scheduling of meetings, creation and distribution of agenda, attending and recording meeting minutes.
- Collating and mailing of weekly surgical billings.
- Payroll processing for UMG and Shared Health employees.
- Coordination of equipment maintenance including arranging shipping of equipment.
- Maintaining and updating the Department’s webpage on the University of Manitoba website.
- Filing and processing mail, answering, directing and returning phone calls.
- Miscellaneous administrative duties as assigned.
QUALIFICATIONS
The successful candidate will have a minimum of 5 years related experience preferably in a health care setting, successful completion of a formal training program in a related discipline is required and/or a post-secondary education certificate or degree with emphasis on administrative business practices is preferred.

- Ability to work as part of a team and independently with a high degree of initiative.
- Word Processing speed of 70w.p.m. with a high degree of accuracy is preferred.
