Field Placement Support Officer
Status: Full Time
Hours: Monday to Friday; 35 hours/week
Home Campus: Fennell (hybrid work arrangements available)
Rate of Pay: Payband G (Start Rate: $32.42 per hour)

Preference will be given to qualified employees within the Full Time Support Staff bargaining unit, Appendix D (in the role for 6 consecutive months) and RPT employees who have passed probation at Mohawk College.

Reporting to the Manager of Experiential Learning, the Field Placement Support Officer is the main point of contact regarding field placements for the McKeil School of Business, School of Creative Industries, Liberal Studies and Communication.
The incumbent provides administrative support and guidance to faculty, students, and employers related to field placements within the academic school. The incumbent functions as a principal resource for students, faculty and employers to consult with and provide direction regarding field placements related college policies and procedures.
The incumbent is responsible for maintaining relationships with community stakeholders that ensures the continuance of existing field placement opportunities and elicits new field placement opportunities.
This involves developing and maintaining effective field placement processes and procedures for all programs that the incumbent supports.
What you’ll be doing:
Canvasing and Securing Student Field Placements

Establishes contact lists of potential placement employers.

Actively job develops to create placement opportunities for students.

Contacts employers to confirm specific requirements and availability for student placements.

Meets regularly with faculty throughout the canvasing process.

Monitors general field placement email inboxes, responding to faculty, student and employer inquiries promptly.

Provides field placement information and step-by-step instructions to students in-class, online, and via email throughout the entire placement process.

Posts placement opportunities for students using the college’s learning management system and experimental learning management system systems.

Screens student resumes ensuring requirements are met for employers.

Prepares and sends student application packages for employer review.

Tracks student interview progress and placement offers.

Coordinates placement selection process between employers and students.

Matches students and employers.
-
Confirms all dates relevant to placement with the student and employer.

Prepares and sends employer and student placement confirmation letters.
Supporting and Tracking Student Field Placements

Pulls reports to track employer and students' progression throughout the placement process.

Generates, sends, and tracks placement documentation, acting as a liaison between General Counsel and external employers to revise legal documentation and respond to insurance inquiries.

Assists students with experiential learning management system, troubleshooting technical errors and ensures students are completing all the required steps in the field placement process.

Ensures and tracks completion of student insurance forms, following up as required.

Compiles insurance statistics, as required for compliance reporting.

Tracks placement completion requirements (including hours and evaluations) and follows up as required.

Responds promptly and courteously to inquiries from students and employers regarding field placement completion.
Field Placement Administrative Tasks

Explores efficiencies within the field placement process in collaboration with the Manager of Experiential Learning.

Meets with internal field placement stakeholders to ensure all field placement forms and procedures are being followed.

Responsible for ensuring field placement webpages and online forms are up-to-date. Coordinates the development of new placement web pages in collaboration with Marketing.

Updates placement forms and revises existing forms and resources.

Updates and tracks student field placements within the experiential learning system.

Continually analyzes data and provides updates and recommendations to faculty, Operations Manager and Associate Deans regarding potential issues, such as a shortage of placement or miscommunication with students or employers.

Implements mitigation strategies as required.

What you’ll bring to the role:

2 year diploma or equivalent in Office Administration; Business, or equivalent to support the program of study.

Minimum of 2 years Experience supporting students in a post-secondary environment, preferably in an experiential learning capacity.

Minimum of 2 years’ experience working with databases (ie. Experiential Learning Management Systems, Student Information Systems, Learning Management Systems).

Familiarity with contract management, policies, process documentation, and occupational health and safety protocols.

Excellent knowledge of Microsoft office products is essential, including Access, Word, Excel, Outlook and PowerPoint.

Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.

The ability to communicate and work effectively with diverse students, employees, and communities.
