Sales Coordinator This position is responsible for coordinating all sales related processes as it relates to supporting all sale activity at 4Refuel. This includes RFP proposal prep, customer account monitoring and customer service.
Hybrid role
Major Job Functions:
· RFQ/RFP Request – 35%
o Work directly with Sales team (Fuel Consultants, Corporate Sales Director and VP, Sales) to create and prepare proposals for new contracts.
o Create the RFQ presentation and details which include pricing, safety, policies, and complete package provided to requestor (supporting the overall tender process)
o Monitor tender based platforms for sales/RFP opportunities
· Customer Accounts – 25%
o Create accounts for a new site/customer including quoting on sales contracts
o Maintain customer accounts and accurately report on customer account information
o Working with the CRM – enter sales leads, update customer information which includes all account info/set up, customer info, meeting correspondence and client calls
- Develop and monitor performance indicators for sales and staff members, managing sales tracking tools, and compiling reports
- Recording regional sales trends and liaising with sales to develop strategies.
o Completion of all administrative sales related paperwork
· Customer Service – 25%
o Liaise with clients regarding their account status
o Assist with AR – credit and collections
o Assist customer with pricing requests
o Respond to customer inquiries for administrative purposes and providing troubleshooting assistance for orders, account statuses, and other problems.
· Administrative – 15%
o Monitor the completion of all necessary sales related paperwork and administrative processes
o Prepare and organize promotional material for events
o Provide support to sales team for customer inquiries, scheduling meetings, and sales appointments.
o Other office admin duties as required
Accountability:
- Liaise between external customer, the sales rep, internal customers and other business units to support and provide coordination of sales and related documentation
- Provide efficient and effective sales administration
Specific Skills:
- Proficiency with MS Office applications
- Good verbal and written communication skills
- Excellent organizational and interpersonal skills
- Accuracy and attention to detail
- Time management and prioritization skills
- Ability to work with a team as well as independently
Education & Experience:
- 2+ years’ experience in a related work environment
- Experience in service administration or a related customer service field
- Post-secondary education in office or business administration would be an asset
