The HR & Pay Administrator is responsible for the processing of Employee Maintenance Forms (EMFs) for hourly employees including new hires, terminations, recalls, and general employee master data setup of new hourly employees in accordance with region and company policies, and in compliance with all union contracts and legislative regulations. They are also responsible for overseeing the hourly payroll time capture process for both union and non-union employees and ensuring accurate and timely submissions to the Americas Business Service Centre (ABS) for their market.
Submit EMFs for hourly employees to trigger set-up for payroll, perform benefits set-up and maintenance tasks and maintain all paperwork applicable to hourly employee personnel files.
Work with Regional HR in the setup and maintenance of union contract summaries and the communication and validation of the summary information with the ABS. Regional HR to provide approved summaries and copy of contract or amendments to the ABS.
Work with Regional HR in the set-up and maintenance of non-bargained contract summaries and all benefit summaries. Regional HR to provide approved summaries and copy of contracts and amendments to the ABS.
Interface with ABS on the maintenance and updating of the hourly payroll system via timely and accurate EMFs.
Train field staff as to payroll procedures & policies, and follow-up on field staff to ensure procedures and policies are being followed.
Handle employee, union and ABS inquiries related to employee pay, setups and benefits.
Coordinate with the ABS regarding benefit administration and employee record changes.
Coordinate with sites within responsible market area for accurate and timely time entry and submission to ABS for processing.
Calculate all retroactive hourly pay-rate adjustments (Labour-hours).
Manage Lafarge’s Kronos/CATS payroll process for assigned market where applicable.
Complete retroactive calculations for hourly rate and benefit increases.
Enroll employees with 3rd party benefit provider and perform continued maintenance with respect to changes in life events, lay-offs and terminations. Ensure these changes are reflected in EMF requests as applicable. Maintain relevant documentation as part of the employee record.
Track employee vacation, pay-outs and pay increases.
Collect and track employee payments for benefits while on layoff.
Act as Super-user resource to support management in Kronos/CATS
Manage manual cheque requests
Ensure accuracy and timelines are followed for bi-weekly sign-off
Perform required reporting
Initiate set up of plant locations in Kronos/CATS
Oversee payroll for entire Market Area.
Provide employment verification letters
Prepare & distribute payroll register to GM’s on a bi-weekly basis
Communicate changes in payroll deadline(s) to field staff – specifically statutory holiday timelines
Accurately complete EMFs to ensure hourly signups are completed in a timely and accurate manner.
Ensure pension plan application forms are correctly filled out for remittance.
Administer reports for benefits coverage.
Manage the payroll process by continually searching for innovation and efficiency in current processes
Education and Experience:
Post-secondary diploma or degree preferred
Completed both Levels 1 and 2 of the Canadian Payroll Association program, or have equivalent experience.
Advanced knowledge of Microsoft Excel and Word is required.
7-10 years payroll experience.
Experience with SuccessFactors, SAP an asset
Must have experience in dealing with both union and non-union multi company payrolls.
Experience with administering benefits and pension plans for employees.
Experience dealing with payroll services.
Experience and knowledge of applicable provincial labour laws
