General Accountability:
The John Howard Society of Nova Scotia has been actively serving our communities since 1950. Our mission is effective, just and humane responses to the causes and consequences of crime. We work collaboratively with clients, government and community agencies to support individuals and families who have come into conflict with the law or who are at risk of becoming involved with the criminal justice system. Our core activities include direct service provision, community education, research and resource development and advocacy. The Northeast Regional Office (NERO) delivers the Nova Scotia Restorative Justice Program (NSRJP) in Pictou, Antigonish and Guysborough Counties. In addition to NSRJP, NERO offers various programs for those who have come into conflict with the law.
Reports to: Director, Northeast Regional Office
Duties and Responsibilities: The Administrative Assistant is responsible to support the delivery of programs within the mandate of The John Howard Society of Nova Scotia. The Administrative Assistant provides administrative support for the Northeast Regional office and is responsible for providing overall office reception and administrative duties.
The Administrative Assistant will demonstrate a respectful and non-judgmental approach to offenders, victims of harm and community. They will communicate and work within a restorative lens with colleagues, youth and adult offenders, victims, community and stakeholders.
In consultation with the Director, the Administrative Assistant will:
● Support the activities of the Director and case management staff of the John Howard Society of Nova Scotia
● Work in alignment with the mission and mandate of The John Howard Society of Nova Scotia
● Foster strong client relationships by greeting and assisting clients and visitors in a welcoming and professional manner
● Answer external calls in a pleasant and professional manner; direct calls to themappropriate staff person.
● Demonstrate a respectful and non-judgmental approach to offenders, victims of harm, community. Must be prepared to communicate and work within a restorative lens for both youth and adult offenders, victims and community
● Adhere to the Society’s policies procedures at all times and reflects adherence to the best practice standards and protocols & practices of Restorative Justice programs as set out by the NS Department of Justice
● Daily collection and distribution of mail
● Maintain office supply inventory
● Maintains a sufficient supply of office forms
● Maintains an up-to-date office directory
● Provide hands on support for all JHS needs including technology, maintenance, events to promote a seamless service
● Creating spreadsheets, PowerPoint presentation, word documents and filing ● Responsible for compiling program statistics and monthly reports
● Responsible for following DOJ Records Management – File Storage procedures, preparing files for storage and destruction
● Responsible for entering and closing of files, ensuring all data has been entered, sending introductory letters to all relevant parties
● To network with community partners to build healthy relationships
● To participate in ongoing Continuing education
● To help maintain cleanliness of office. (Dishes, garbage, recycling, vacuuming etc.).
Will be required to travel throughout the agency’s catchment region. Must have a valid Driver’s license and access to a reliable vehicle. Must carry a two million liability car insurance
● Participate in ongoing community education
HOURS OF WORK:
· Full time employment, 35 hours per week
· Pay Rate – 25.00 per hour, plus 4% vacation pay
· Primarily Mondays to Fridays, but may require limited availability on evening, weekends and holidays
