Some of the services provided include naturopathic consultations, intravenous nutrient therapies, diet and lifestyle counseling, acupuncture, massage, regenerative injections, etc. Digestive, hormonal, pain, anti-aging, and numerous other wellness services are provided by a number of practitioners in the clinic providing both active care as well as proactive care.
Job description
To coordinate the effective day to day operation of the clinic regarding patient flow, as well as playing a key role in supporting the naturopathic doctor and associates in providing the very best service to clinic patients as well as potential patients. The successful candidate will engage, encourage and support patient health and is responsible for fulfilling a variety of duties in both the front and back of the office, including billing support, scheduling, patient communication and record keeping. Job Type
This is a 21.5 hr/week position. Availability on evenings and weekends is required.
- Monday 12:00pm to 8pm
- Tuesday 2:00pm to 8pm
- Friday 9:00 to 5:00pm
- Alternate Saturdays - 9am to 5pm
Compensation
$19.50/hr to $21.00/hr
Expectations for the Role
- Patient Scheduling and Coordination: Manage appointment bookings, cancellations, and reminders, ensuring efficient scheduling for practitioners and patients.
- Front Desk Operations: Greet patients, handle check-ins, and create a welcoming, calming environment aligned with naturopathic principles.
- Billing and Insurance: Process patient payments, handle insurance claims or reimbursements, and maintain accurate financial records for services like consultations, supplements, or therapies.
- Inventory Management: Track and order clinic supplies, including natural remedies, supplements, and office materials, ensuring stock aligns with naturopathic practices.
- Patient Records Management: Maintain confidential patient records in compliance with HIPAA and other privacy regulations, often using electronic health record (EHR) systems.
- Customer Service: Address patient inquiries, resolve complaints, and provide information about naturopathic treatments or clinic policies.
- Marketing and Outreach: Assist with promoting the clinic through social media, newsletters, or community events to attract new patients and educate about naturopathic care.
- Compliance and Regulations: Ensure the clinic adheres to healthcare regulations, licensing requirements, and naturopathic industry standards.
- Vendor Coordination: Liaise with suppliers of naturopathic products or services.
- Facility Maintenance: Oversee the upkeep of the clinic space, ensuring a clean, organized, and healing environment.
- Data Entry and Reporting: Maintain accurate records of appointments, patient interactions, and clinic performance metrics.
- Supporting Practitioners: Assist naturopathic doctors with administrative tasks, such as preparing patient charts or coordinating follow-up care plans.
Required Education
Required Experience, Knowledge & Skills
- A professional and curteous disposition
- Must possess a strong work ethic, be self-motivated with the ability to work independently with minimal supervision
- Ability to multi-task and manage time efficiently
- Meticulous attention to detail and excellent record keeping skills
- Excellent written and oral communication skills with the ability to empathize with patients

Assets
- Job experience in a related alternative medical field (health and wellness, spa, chiropractic, etc) (preferred)
- Medical terminology experience (preferred)
- Experience using Electronic Medical Record Software
- Direct Billing experience
- Current Cardiopulmonary Resuscitation (CPR) / First Aid Certification / Basic Cardiac Life Support (BCLS)
- Proficiency with social media platforms
