Strata Real Estate Brokerage is a Toronto-based real estate brokerage with 80 agents, alongside Strata.ca, a popular real estate listing platform that generates leads for the agents. We are seeking an experienced Operations Manager to support our dynamic team and the CEO. The ideal candidate is highly organized, has impeccable communication skills, excels at problem-solving, developing systems, and executing new initiatives, and can handle multiple tasks while maintaining a high level of detail.
Note: We operate with the fast-paced, flexible culture of a startup. As a medium-sized brokerage in a small company environment, we’re looking for someone who is comfortable wearing multiple hats, shifting priorities as needed, and adapting to evolving business needs. Qualifications:
- Bachelor’s degree in Business Administration, Operations Management, Engineering, or a related field; MBA or equivalent advanced degree is a plus.
- Minimum of 4 years of experience in operations management, preferably in the real estate industry.
- Proven ability to develop and implement operational systems and initiatives.
- Strong interpersonal and communication skills.
- Strong writing skills are a bonus, as they would help facilitate updates to training materials and light edits to marketing content as needed.
- Exceptional attention to detail.
- Comfortable coordinating with agents and our backend team.
- Proficiency in Google Workspace is a plus.
- Ability to multitask and manage time efficiently.
Responsibilities:
Operational Tasks
- Act as the central operational leader, ensuring smooth day-to-day operations across all areas by proactively identifying opportunities for efficiency and revenue growth. Take ownership of managing, delegating, and implementing systems, tasks and procedures that drive the brokerage’s performance and profitability.
- Lead the development, coordination, and implementation of key initiatives by working collaboratively with backend admin, developers, and contractors, with an emphasis on initiatives that enhance operational efficiency and growth.
- Track and analyze the effectiveness of operational initiatives to ensure they are meeting performance and efficiency targets; proactively recommend adjustments as needed to maximize their impact.
- Develop and refine Standard Operating Procedures (SOPs) and assist with policy creation to improve operational workflows and support company objectives.
- Ensure the CEO’s involvement is reserved for critical decisions and initiatives, delegating or managing all other tasks independently or through appropriate team members.
- Continuously monitor for inefficiencies, identifying opportunities to reduce waste, cut expenses, and improve the brokerage’s net income.
- Manage the hiring and onboarding of contractors for various projects, leveraging platforms like Indeed and Upwork, and working with our HR consultant for complex roles. Facilitate contractor agreements and ensure alignment with company objectives.
- Identify and implement process automation opportunities that streamline operations, reduce costs, and support the company’s overall growth strategy.
Property Management Service Rollout
- Assist in launching our new Property Management business, which will become a complementary service to the real estate brokerage (business plan and strategy is already established).
Performance Metrics and Analysis
- Collaborate with management to set and align team KPIs and targets with company objectives.
- Monitor and report on key performance indicators for agents and the team.
Agent and Client Relations
- Email company announcements and updates to agents
- Ensure agents and admins adhere to lead policies and procedures. A substantial part of your role will involve maximizing lead conversions from Strata, which is a key driver of our revenue.
- Manage our small team of ‘Inside Sale Agents’ (lead prospectors) to ensure they’re hitting quotas
- Occasionally responsible for back-up coverage of priority administrative tasks, such as ordering supplies or coordinating logistics, as needed.
- Manage routine client complaints and respond to 5 star Google reviews.
- Although rate, assist agents dealing with conflict within the brokerage
Work Environment
This role is mostly remote. While much of the work can be done from home, you will be expected to work from the office one day per week to collaborate with the team and attend agent events (2–4 times per year). Face time with the agents is important as you will communicate with them frequently.
Hours
This is a full-time position with a standard 40-hour workweek, primarily during conventional business hours from Monday to Friday. However, the role occasionally requires flexibility for rare instances when time-sensitive tasks emerge outside the typical 9–5 schedule (e.g., addressing an important site feature that’s broken and must be fixed). These instances may include evenings or weekends but are rare.
Compensation and Benefits
- Salary: $90,000 annual base salary, plus an unlimited performance-based bonus (anticipated at $10,000–$30,000 per year, for total compensation potential of $100,000–$120,000 per year or higher).
- Bonus: The annual bonus is tied to the company’s net income growth, encouraging initiatives that drive revenue while maintaining fiscal efficiency.
- Vacation: 3 weeks.
