Full Job Description
The Medical Office Receptionist/Assistant is responsible for providing comprehensive administrative and clerical support to ensure the efficient daily operation of a diagnostic imaging clinic. This role supports the coordination of imaging services, including X-ray and ultrasound, while facilitating a high standard of patient care and service delivery.
The receptionist is the primary point of contact for patients, referring physicians, and clinical staff, ensuring accurate scheduling, effective communication, and the timely processing of patient information. The role requires a high level of organization, attention to detail, and the ability to function effectively in a fast-paced healthcare environment.
Summary of Duties
- Coordinate and schedule patient appointments for diagnostic imaging services in accordance with clinical protocols and resource availability
- Register patients, verify demographic and health information, and ensure all required documentation and physician requisitions are complete and accurate
- Provide patients with clear instructions regarding exam preparation and appointment procedures
- Collaboration with technologists, radiologists, and referring physician offices to support efficient clinic workflow and continuity of care
- Accurately enter, update, and maintain patient data within electronic medical record (Velox) systems
- Review and process incoming requisitions to ensure completeness and appropriateness for booked procedures
- Respond to telephone and in-person inquiries in a professional and timely manner
- Support the preparation, organization, and maintenance of patient records and imaging documentation
- Assist with billing processes, including third-party and insurance claims, where applicable
- Ensure compliance with all applicable privacy legislation and confidentiality standards
- Perform general administrative duties, including filing, scanning, faxing, and distribution of reports
- Contribute to a positive patient experience through professional and courteous service at all times
Qualifications/Skills
- Post-secondary diploma required; completion of a medical terminology course is considered an asset
- Administrative experience is strongly preferred, as well as experience within a healthcare or diagnostic imaging environment
- Knowledge of diagnostic imaging procedures and requisition processes is an asset
- Self-motivated to proactively learn and master job responsibilities, with the ability to remain highly adaptable and effective in fast-paced, high-pressure, and busy clinical environments.
- Intermediate to advanced proficiency in Microsoft Office applications (Gmail, Word, Excel)
- Demonstrated ability to work independently with minimal supervision in a high-volume environment
- Strong organizational and time management skills, with a high degree of accuracy and attention to detail
- Excellent patient (customer) service skills, with the ability to interact effectively with patients and healthcare professionals
- Strong interpersonal, verbal, and written communication skills

Job Type: Part-time
Pay: $24.00-$28.00 per hour
