ASCO Canada is looking for a highly organized and detail-oriented Administrative Coordinator to join our team. Reporting to the Operations Manager, you will play a key role in supporting the day-to-day operations of the facility by providing administrative, HSEQ, accounting, and HR support. Key Responsibilities
· Archive purchase orders and maintain electronic filing systems.
· Procure, track, and maintain operational supplies, including placards, shipping labels, PPE, and office supplies.
· Distribute client reports from internal databases.
· Renew company vehicle registrations.
· Prepare and submit KPI reports and other client reporting requirements.
· Coordinate staff events, meetings, and travel arrangements.
· Create, update, and maintain company documents and forms.
· Serve as the first point of contact for visitors and incoming calls.
· Receive, distribute, and manage incoming and outgoing mail.
· Support the Joint Occupational Health & Safety (JOHS) Committee.
· Maintain first aid kits and spill kits.
· Coordinate visitor orientations.
· Assist with the development and maintenance of policies, procedures, and work instructions.
· Participate in incident investigations, emergency planning, drills, and communications.
· Participate in regular safety meetings.
· Assist accounting and administrative students as required.
· Process invoices for approval and payment.
· Liaise with clients and suppliers regarding accounts payable and receivable inquiries.
· Create purchase orders as required.
· Complete and submit CNLOPB reports
· Complete and submit Diversity reports for clients
· Maintain Training Files and Training Matrix through Work Hub
· Schedule Training for employees
What We’re Looking For
· Office Administration diploma/certificate or equivalent work experience.
· Previous administrative experience in a busy office environment.
· Strong proficiency with Microsoft Office (Word, Excel, Outlook).
· Excellent organizational, time management, and multitasking skills.
· Strong written and verbal communication skills.
· Ability to maintain confidential information.
· Strong attention to detail and accuracy.
· Ability to work independently and collaboratively within a team.
· Excellent problem-solving and decision-making skills.
· Experience with finance or accounting processes.
· Experience using Microsoft Dynamics AX or similar ERP systems.
Knowledge of facility operations or industrial environments is considered an asset.
