Compensation: $30 per hour to $35.00 per hour, according to experience.
Regular Work Hours: Between 5-15 hours per week, to be worked during regular business hours between 9 am to 5 pm, Monday to Friday. Additional paid hours may be required during the tax season (March-April), including some evenings and weekends as needed.
Work Location: 100% remote-based, with periodically scheduled onsite work at our client's downtown Toronto, Mississauga, or Oakville office locations.

Responsibilities Summary:
Provide support to a public accounting firm. Highly organized, detail-oriented Administrative Assistant / Documents Processor to play a central role in keeping client workflow accurate, compliant, and moving efficiently. This is not a basic administrative role; it is a process ownership position that directly supports client delivery and firm operations.
You will be the operational backbone, ensuring client files are complete, communications are handled professionally, and internal systems remain accurate and up to date. Your work enables the Principal and accounting team to focus on high-value client service.
You will be responsible for the end-to-end processing and integrity of client administrative workflows, including:
- Collating, preparing, and delivering draft and final client packages.
- Maintaining the accuracy and integrity of client records and workflow systems.
- Storing and organizing client documentation securely.
- Following up with clients regarding outstanding items needed to complete files.
- Maintaining administrative tracking systems and monthly statistics.
- Supporting scheduling and coordination of meetings.
- Preparing and editing professional correspondence (letters, memos, mass emails).
- Responding to select client requests and inquiries using firm templates.
- Liaising with the firm’s IT service provider to ensure smooth technical operations.
- Performing additional administrative and process functions as required.
Qualifications:
Education: College or University degree, or equivalent combination of education and work experience.
Preferred Work Experience: At least 5+ years of experience in a professional administrative role.
Preferred Sector Experience: Public Accounting firm experience strongly preferred.
Technical and Language Skills Requirements:
- Experience with DocuSign, CaseWare, and TaxPrep software preferred.
- Advanced MS Office skills, particularly Excel (will be tested).
- Fast and accurate typing and data entry skills, and excellent attention to detail (will be tested).
- Familiarity with online databases and file management programs.
- Sound knowledge and understanding of bookkeeping functions an asset.
- Strong English written and reading comprehension skills, including excellent spelling, grammar, proofreading, and syntax (will be tested).
- Strong English conversational skills and professional telephone manners.

- Strong sense of urgency and understanding of accounting firm workflow cycles. Strong prioritization and workflow management skills.

- High ethical standards and confidentiality with sensitive information.
- Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
- Superior attention to detail, and organized, methodical approach to completion of tasks.
- Demonstrated ability to work well both independently and collaboratively and liaise effectively with a wide and diverse range of internal and external stakeholders.
Additional Requirements:
- Must have own dedicated ergonomic workspace in a confidential environment, with reliable high-speed internet. Must have ability to work extended periods at a computer and manage multiple tasks remotely.
- Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
- Ability to work both remotely and onsite, abiding by organization health and safety policies.
- Ability to promptly provide minimum of 2, qualified employment references who are available to speak with either Marberg or Marberg's client.
- Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
- Provision of certification of AODA and OHSA online training course completion prior to assignment start.
