We are seeking a detail-oriented and organized Office Assistant to support our administrative team. Responsibilities
- Greet visitors and manage front desk duties with professionalism and courtesy
- Answer multi-line phone systems and direct calls appropriately using excellent phone etiquette
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
- Maintain organized filing systems both digitally and physically
- Assist with scheduling appointments and managing calendars for staff or medical/dental offices
- Support bookkeeping and basic financial record keeping, including invoicing and billing processes
- Provide customer support by addressing inquiries via phone, email, or in person
- Proofread documents for accuracy and clarity before distribution
- Handle clerical tasks such as photocopying, faxing, and mailing correspondence
- Support administrative projects as needed to ensure efficient office operations
Experience
- Prior office experience preferred, especially in medical or dental settings such as dental receptionist or medical office roles
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with QuickBooks or bookkeeping software is a plus
- Strong organizational skills with attention to detail in data entry and document management
- Excellent customer service skills with professional phone etiquette
- Ability to multitask efficiently in a fast-paced environment
- Experience handling multi-line phone systems and front desk responsibilities is desirable
- Basic clerical experience including filing, proofreading, and administrative support tasks is beneficial
