The Senior Medical Secretary provides secretarial services to the Chief Psychiatrist, Consultant Psychiatrists and Staff Psychiatrists working for Mental Health Services of Oxford County. Provides assistance with other secretarial services throughout the Department as required.
Essential Job Functions:
1. Provide typing service as needed to the Chief Psychiatrist and consultant psychiatrists from handwritten notes. Types memos, letters, summaries, statistical data, program planning and departmental reports and other related tasks
2. Collects information for Children’s Aid Society, lawyers, other doctors, probation and for the courts, insurance companies and community partners when requested by Release of Information Form on patients (med records now).
3. Screens incoming mail daily as to importance of attention and prepares outgoing mail for mailing to departments within the unit and out of the unit
4. Maintain and set up required material for the filing system
5. Carries out duties as requested by Chief Psychiatrist, Consultant Psychiatrists, Director of Mental Health and Clerical Supervisor
6. Provide backup administrative support within the Mental Health department when required
Qualifications:
- Ontario Secondary School Diploma or equivalent is required
- Health Care Office Assistant Diploma from a recognized Community College
- Minimum of 3 years of secretarial/administrative experience with previous experience in a Mental Health setting is essential.
- Able to maintain timely and accurate statistical records of direct and indirect care activities for departmental, hospital and ministry purposes.
- Proficiency in electronic patient records including: Cerner Scheduling System, Powerchart, Lanier Dictation System, Infomed, as well as Microsoft Office programs including Word, Excel, Access and Powerpoint.
- Excellent communication skills and demonstrated ability to handle highly confidential information with discretion and tact.
- Excellent organizational, typing and computer application skills.
- Ability to transcribe from dictation
- Able to take minutes at meetings and assist with the development of agendas
- Able to handle potentially difficult and/or volatile situations with clients in a calm manner is essential.
- NVCI training is required.
- Have the ability to work in a fast-paced multidisciplinary hospital and community team environment.
- Assist with administrative student supervision as needed.
- Participate in internal/external committees/working groups as assigned.
- Provide support to the Director of Mental Health services as required
- Satisfactory vulnerable person’s sector criminal background check.
- Internal candidates must have satisfactory attendance and performance appraisal in current position.

Salary Range: $28.50/hr - $32.41/hr
