Job Overview
We are seeking a highly organized and detail-oriented Full-time Administrative Assistant to support our office operations. The ideal candidate will possess strong clerical and customer service skills, with experience in office management, data entry, and using various software tools. This role is essential for maintaining smooth daily operations, managing communications, and providing exceptional support to staff and clients.
Responsibilities
- Welcome clients and provide exceptional customer service.
- Answer phone calls, emails, and WhatsApp inquiries professionally.
- Schedule appointments and manage consultant calendars.
- Organize, maintain, and update client files and records.
- Assist with document collection, scanning, printing, and filing.
- Prepare correspondence, forms, and administrative documents.
- Coordinate with clients to follow up on pending documents.
- Maintain office supplies and support day-to-day office operations.
- Assist the immigration team with administrative tasks as required.
Qualifications
- Previous experience in an administrative or office support role is preferred.
- Excellent verbal and written communication skills in English.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Ability to multitask and work efficiently in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Customer service experience is an asset.
- Experience in an immigration, legal, or consulting office is an asset but not required.
