Job description
We are looking to expand our construction administrations division by adding a full-time Site Administrator to our construction field team.
This key team member will support the construction site by providing detail oriented organization, with a focus on clear effective communication.
Administrative:
- Assist the Site Superintendent in the planning, coordination, and execution of construction site activities.
- Assist the Site Superintendent in coordinating administrative activities between project managers, subtrades, labourers, vendors, contractors, customers, and other parties.
- Assist with maintaining good on-site working relationships with sub-trades and vendors, with a focus on communication.
- Assist the Site Superintendent with scheduling and participation in site meetings.
- Assist the Site Superintendent with construction contract administration to ensure contract document requirements are met and maintained.
- Assist the Site Superintendent with coordination of various types of communications inclusive of meeting minutes, emails, phone calls, in a professional courteous manner.
- Execute clerical and general office duties.
Equipment Coordination:
- Assist with cost effective management of equipment.
- Manage fuel consumption tracking and analysis.
- Assist with coordination of field equipment maintenance.
- Accountable for field equipment key management.
- Manage and maintain Equipment Hour Logs / Tracking.
- Compile equipment lease rate comparable analysis, as required.
- Manage and maintain small tool tracking.
- Assist with coordination trucking / hauling of equipment.
- Assist with control access and responsibilities for RMS specific yards, shops, etc.
- Pick up small material and supply orders, as required.
Health & Safety:
- Work with the Project & Safety Coordinator to successfully administer the RMS health and safety program on RMS construction sites.
- Update Health & Safety Binders for Sites, as required.
- Liaise with Contract Safety Officer on site, as required.
- Coordinate Fire Extinguisher / First Aid Kits and tracking thereof, on site.
- Assist with site safety inspections, as required.
- Attend job site monthly Safety Meetings and assist with record keeping, as required.
- Periodic review and attendance of Daily, Weekly & Monthly Meetings, including Tool Box Meetings and Reporting.
- Assist with records management, as required.
- Ensure subtrades are following site rules and are in compliance with health and safety requirements based on RMS policies and OH&S Act.
Experience:
- Minimum 3 years experience in the construction industry within an administrative role.
- Strong communication and computer skills.
- Working knowledge of Office 365, Adobe Acrobat, and MS Project.
- Highly organized and the ability to work under pressure in a fast-paced environment with minimal supervision.
