Limestone Property Management is looking for an organized, motivated and personable Leasing Coordinator to join our growing team.
As one of Kingston’s leading property management companies, Limestone Property Management manages a diverse portfolio of residential properties throughout Kingston, Napanee, Gananoque, the Quinte region and Ottawa.
This position will primarily support properties throughout Kingston and the surrounding area.
The Leasing Coordinator is responsible for the day-to-day leasing and administration of an assigned portfolio of properties. Working alongside a Property Manager, you will take ownership of the leasing process and help ensure vacancies, renewals, turnovers and new tenancies are handled efficiently from beginning to end.
This is a hands-on position that includes rental marketing, showings, applications, tenant screening, lease documentation, owner communication, renewals, end-of-tenancy processing and tenant onboarding.
We’re looking for someone who is highly organized, confident communicating with both property owners and tenants, comfortable taking initiative and able to keep multiple properties and priorities moving at the same time.
Key Responsibilities
Leasing & Vacancy Management
- Take ownership of the leasing process for assigned properties from notice of vacancy through move-in
- Complete rental market research and recommend appropriate rental rates
- Prepare and maintain rental listings, photos and property information
- Respond to rental inquiries and follow up with prospective tenants
- Coordinate and conduct property showings
- Review and screen rental applications
- Complete credit and reference checks and collect required supporting documentation
- Present qualified applicants to property owners
- Negotiate routine leasing terms within company guidelines
- Prepare and coordinate lease documentation and signing
- Track DocuSign completion and outstanding documentation
- Coordinate move-in requirements, keys and required documentation
- Monitor vacancy activity and recommend pricing or marketing adjustments when appropriate
Owner & Client Communication
- Provide timely and professional updates to property owners
- Notify owners of upcoming vacancies and tenant notices
- Provide recommendations regarding rental pricing and current market conditions
- Communicate leasing activity, showing feedback and application updates
- Obtain routine owner approvals when required
- Identify concerns early and escalate significant matters when appropriate
End of Tenancy & Renewals
- Track end-of-tenancy notices and upcoming lease expirations
- Coordinate lease renewals and student renewal/notice periods
- Complete end-of-tenancy correspondence and processing within LPM systems
- Send move-out instructions and required tenant communications
- Coordinate pre-move-out walkthroughs
- Identify required turnover maintenance and arrange turnover cleaning when required
- Coordinate turnover timelines with our Maintenance team and other departments
- Prepare properties for re-listing and the next tenancy
- Coordinate move-in requirements for incoming tenants
Portfolio Accountability
- Maintain organized and complete leasing and property files
- Monitor outstanding tasks and follow-ups within your assigned portfolio
- Participate in regular portfolio and vacancy reviews
- Proactively identify concerns and bring forward solutions
- Work collaboratively with Property Management, Maintenance, Administration and other LPM departments
- Provide portfolio coverage when required
- Follow LPM policies, procedures and service standards
- Independently manage routine leasing and portfolio matters while recognizing when an issue requires escalation
What We’re Looking For
- Excellent communication and customer service skills
- Strong organizational and time-management abilities
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- 1–2 years of experience in leasing, property management, customer service, sales or a similar role is preferred
- Previous sales experience is considered an asset
- Knowledge of Ontario's Residential Tenancies Act is considered an asset
- Knowledge of the Kingston rental market is considered an asset
- Post-secondary education or certificates related to property management are considered an asset
- Experience with social media or rental marketing is considered an asset
- Proficiency with Microsoft Office, including Outlook, Word and Excel
- Comfortable learning and working with technology and property management software
- Ability to work independently while contributing positively to a team environment
- Proactive approach to problem-solving and follow-through
- Comfortable working in a growing organization where priorities and processes continue to evolve
- Valid G2 or G driver's licence
Schedule
The regular schedule for this position is Monday to Friday, 8:30 a.m. – 4:30 p.m.
Some flexibility is required based on leasing activity. Occasional evening, weekend and holiday showings may be necessary, particularly during peak rental periods. The schedule can be adjusted to accommodate evening and weekend appointments when required.
