Part-Time, Hybrid | London, Ontario | Opportunity for Growing Hours
Middlesex Therapy Centre is looking for a warm, organized, and proactive Client Care & Practice Coordinator to join our growing team.
This role is a mix of client care, administration, practice coordination, and behind-the-scenes problem-solving. You’ll help ensure clients feel supported from their very first interaction while keeping the day-to-day operations of the practice running smoothly.
We’re a growing therapy practice, so this is a great opportunity for someone who enjoys creating order, improving systems, and taking ownership of their work. The position will begin with part-time hours (5-10 a week), with the opportunity for hours and responsibilities to grow alongside the practice.
What You’ll Be Doing
- Responding to client emails, calls, and general inquiries in a warm and professional manner
- Helping new clients understand our services and connecting them with the most appropriate therapist
- Managing appointments, waitlists, cancellations, and scheduling changes
- Supporting therapists with administrative needs
- Managing client profiles, forms, referrals, and other information within Jane
- Assisting with direct billing, rejected claims, outstanding balances, and payment follow-up
- Keeping practice information, therapist availability, and internal systems organized and up to date
- Reviewing basic practice expenses and helping track which services, systems, or marketing efforts are providing value
- Assisting with onboarding new therapists and supporting the practice as it continues to grow
- Identifying ways to make our administrative processes easier and more efficient
- Completing occasional in-office tasks as needed
What We’re Looking For
- Previous experience using Jane App is required
- Strong communication and client-service skills
- Excellent organization and attention to detail
- Comfortable working independently and managing priorities
- Reliable, responsive, and able to follow through without frequent reminders
- Comfortable learning new systems and troubleshooting everyday administrative issues
- Professional and discreet when handling confidential information
- Located in London, Ontario, and available for a combination of remote and in-person work
Assets
- Experience with insurance or direct billing
- Financial literacy, bookkeeping knowledge, or experience reviewing business expenses
- Experience working in a healthcare, mental health, or private-practice setting
- Experience with marketing, social media, or practice growth
- Familiarity with Google Workspace, Canva, or similar platforms

- Hybrid position with primarily remote work and occasional in-person work in London
- Hours have the potential to grow as the practice expands
- Some flexibility is available, but reliability and timely communication are essential
- Compensation will be based on experience
About Middlesex Therapy Centre
Middlesex Therapy Centre is a growing private psychotherapy practice in North London. We support teens, adults, couples, and families, with particular focus on neurodivergence, relationships, life transitions, and first responders and helping professionals.
