Role Summary

The Lead Receptionist has a passion for Customer service, is a brilliant communicator and strives to ensure that every Customer who calls or visits Eminence’s Central Office has an Extraordinary experience. The Lead Receptionist partners with the main Receptionist to create a warm, welcoming environment and to professionally manage front office functions such as mail, couriers, meeting rooms and office supplies. The role is also responsible for providing administrative support.

Reporting and Peer Relationships

This position reports to the Order Services Manager, works closely with the Order Services Team and interacts daily with all team-members at Eminence. The Lead Receptionist will provide direction and support to the main Receptionist, while effectively partnering with Inside Sales, Product Support and Customer Development as well as all other teams to professionally direct Customer calls and to handle general inquiries.

Roles and Responsibilities

Duties and responsibilities include, but are not limited to:
Front Office Reception & Leadership

Ensure that extraordinary Customer service levels are maintained in all contact with internal and external Customers
Partner with the main Receptionist to ensure that all direct and incoming calls are professionally answered within 2 rings
Partner with other teams to apply the most efficient processes for call handling, forwarding and escalation for all incoming phone calls
Ensure that all visitors to the office receive an exceptional, on-brand experience
Document processes and maintain training materials for front office responsibilities
Supervise the main Receptionist and provide first level leadership and support to all questions or concerns from Customers
Mail/Courier Management

Be responsible for all incoming and outgoing mail and packages
Assist with tracking shipments of Customer orders
Create pre-addressed mailing labels for various outgoing mailings
Update Customer addresses for any returned mail (updating in Customer Relationship Management (CRM) software)
Meeting Room Maintenance

Ensure that each meeting room has appropriate office supplies and a current phone extension list
Coordinate special meeting room requests such as flipcharts and catering as required
Administrative Support

Provide administrative assistance with various company-wide administrative tasks
Handle special administrative projects from senior and/or executive leaders
Reply to and/or forward emails received into the general Eminence Organic Skin Care mailbox
Forward faxes to appropriate team-members
Escalate and/or respond to all incoming inquiries appropriately
Maintain Office Extension Phone List
Supplies and Lunchroom Management

Monitor usage of supplies to maintain adequate stock levels of office, kitchen, cleaning and general supplies
Submit and track orders to suppliers and vendors for office, kitchen, cleaning and general supplies

Experience Required

Reception experience – 2+ years
Proven people leadership & management skills – 1+ years
Multi-line phone systems – 1+ years
Administrative Assistance experience – 1+ years
Demonstrated Customer service and problem resolution experience
Skills Required

Brilliant verbal and written communication skills
Exceptional Customer service skills
