Experienced Dental Receptionist
We are seeking a highly experienced and confident Dental Receptionist to join our growing practice. This position is ideal for someone who can work independently with minimal training, is proficient with TRACKER, and has a solid understanding of all aspects of front-office dental administration.
Please note: We are only considering candidates with previous dental reception experience. Applicants without dental office experience or who require training in basic dental reception duties will not be considered.
Responsibilities
- Welcome patients in a warm, friendly, and professional manner, creating an exceptional first impression.
- Answer and manage a multi-line phone system, schedule appointments, respond to patient inquiries, and handle daily communications.
- Verify insurance eligibility and accurately maintain electronic patient records using TRACKER.
- Schedule, confirm, and optimize patient appointments to maximize the daily schedule.
- Prepare treatment estimates and clearly explain fees and insurance coverage to patients.
- Submit insurance claims and pre-authorizations accurately and promptly.
- Enter treatment plans and charting as prescribed by the dentist.
- Process payments, complete invoicing, bill insurance companies, and collect patient balances at the end of appointments.
- Perform patient recalls and proactively fill the hygiene and doctor schedules.
- Maintain organized and accurate patient records while ensuring compliance with privacy regulations.
- Support the clinical team to ensure efficient patient flow throughout the day.
- Assist with general administrative duties as required.
Qualifications
- Minimum 3 Years of experience as a Dental Receptionist in a Canadian dental practice.
- Advanced working knowledge of TRACKER dental software.
- Strong understanding of dental procedures, terminology, insurance billing, and treatment sequencing.
- Ability to enter procedure codes accurately without relying on procedure manuals or reference guides.
- Experience preparing treatment estimates, submitting pre-authorizations, and processing insurance claims.
- Excellent communication and customer service skills.
- Strong organizational skills with the ability to multitask in a fast-paced environment.
- Professional, dependable, detail-oriented, and able to work independently.

This is a position for an experienced dental receptionist. The successful candidate must be fully confident and proficient in all of the following:
- Entering treatment plans and charting from the dentist's notes.
- Preparing accurate treatment estimates.
- Submitting insurance pre-authorizations.
- Entering procedure codes quickly and accurately from knowledge.
- Processing insurance claims and patient billing.
- Collecting patient co-payments and outstanding balances.
- Managing dual insurances, manual summation to 2ndary insurances.
- Managing recalls and helping maintain a productive schedule.
