XMC is looking for an energetic Staffing Coordinator who is ready to take on new and exciting challenges with Canada’s Official Experiential Marketing Agency. This role is a 6-month contract with possibility for extension.
The successful candidate will focus on supporting the XMC Staffing Solutions team, a key division of XMC. Duties may include, developing job descriptions, posting vacant roles on websites, mining and shortlisting candidates, conducting interviews, and providing contracts to selected recruits. This individual may also be required to conduct training sessions with staff. A key final component of this role will be maintaining communication with staff and ensuring campaign deliverables are adhered to (punctuality, key messaging, reporting, etc.).
The ideal candidate for XM is one with a work-hard attitude; someone dedicated, focused and flexible enough to understand that there is no such thing as a “standard” day on the job.
Overall
- Support the XSS business unit and management on all XMC Staffing Solutions projects
- Target-right recruiting and staff retention
- Support the development external staffing policies/procedures
- Maintain accurate employee information
Recruitment and Program Management
- Host candidate interviews, orientations, and trainings
- Secure coverage for vacant shifts
- Coordinate staff to meet the organization’s requirements
- Monitor attendance of employees during training and when activations are live
- Manage activation WhatsApp groups
- Maintain schedules for rotating staff
- Attend College/University Career Fairs
Payroll
- Uphold accurate system for tracking staff over a variety of shifts
- Input, review and approve external staff timesheets and expenses
- Uploading payroll documents to appropriate folders
- Add staff to Dayforce and ensure accurate reconciliation of hours
- Working with Ceridian payroll systems and/or ATS

SKILLS / KNOWLEDGE / EXPERIENCE / EDUCTATION REQUIRED
- Post-secondary education in Business, Marketing, and/or HR
- Minimum 2-years’ experience in a recruitment/staffing role
- Previous experience in sales, customer service, experiential marketing and/or field marketing an asset
- Extensive network of promotional representatives (BAs, TLs, Promo Models, etc.) an asset
- Experience in working with Ceridian payroll systems and/or ATS
- Working knowledge of Microsoft Office applications and Social Media tools
- Excellent time management and organizational skills
- Ability to work under pressure and continuously demonstrates resilience in high-stress environments
- Ability to work effectively as a team and/or independently
- Strong verbal and written communication skills
