Job Title: Medical Administrator
Full-Time Permanent Contract after completion of 3 month probation period
Location: In Clinic
We are a very busy specialist office that provides in-clinic and hospital care for patients within the Mississauga community. This position requires the ability to time manage and perform day to day duties for a high patient volume clinic with more than one specialty. It requires schedule management and good team work skills.
In this role, you will be responsible for managing patient appointments, organizing medical records, appointment booking, answering phones and providing excellent customer service to our patients.
Responsibilities:
- High volume bookings + ability to communicate prep
- Assist with patient flow, room preparation, and clinical setup for procedures
- Record and document patient vitals, update EMR charts, and maintain procedural readiness.
- Support efficient turnover and high daily patient volume.
- Ensure accuracy, professionalism, and empathy in all patient interactions.
- Communicate effectively with the care team to anticipate needs and improve workflow.
- Schedule management, book and confirm patient appointments
- Fax triaging and maintaining/reporting wait times including patient volume
- Chart preparation with correct demographics and information required for physician to conduct appointments
- Answer phone calls, respond to e-mails and communicate pre-operation/post operation in a timely and accurate manner
- Able to maintain and organize all physician's schedule including ability to accommodate to on-call schedule, wait-list and no-show management
- Greet patients and provide excellent customer service
- Maintain accurate medical records and update patient information
- Coordinate patient referrals and communicate with other healthcare providers
- Ensure compliance with healthcare, hospital regulations and clinic policies
- Excellent problem solving and communication skills
Requirements:
- High school diploma or equivalent; associate's or bachelor's degree preferred
- Minimum of 3 years of experience in a medical office setting (required)
- Experience working in a specialist office or hospital that schedules procedures or large group practices with multiple providers and complex schedules (preferred)
- Knowledge of medical terminology and electronic medical records, including hospital and clinical EMRs
- Excellent communication and interpersonal skills
- Strong organizational and time-management skills
- Ability to work independently and as part of a team
- Must demonstrate reliability and professional accountability in scheduling and attendance.

Pay: $41,000.00-$51,000.00 per year
