PATRON SERVICES ASSOCIATE AND EXECUTIVE ASSISTANT TO THE BOARD
The Patron Services Associate & Executive Assistant to the Board is the primary contact for our patrons and Board of Directors, and supports various departments at Edmonton Opera. This role is pivotal in delivering excellent service, cultivating loyal patrons, and handling transactions such as ticket purchases and donations. It is also essential to the smooth administrative functioning of Edmonton Opera’s board.
Edmonton Opera enjoys a hybrid work environment with core in-office hours Tuesday, Thursday and Friday and the ability to work elsewhere other days.This full-time salaried position operates Monday to Friday, 9 am to 5 pm, with occasional evening and weekend shifts.
DUTIES & RESPONSIBILITIES
Patron Services
- Serve as the first point of contact at the Opera Centre's front desk, addressing in-person visits, deliveries, and phone inquiries.
- Uphold standard business hours of operation from Monday to Friday, 9 am to 5 pm.
- Deliver exceptional customer service to all patrons and rental groups.
- Continuously learn and operate Tessitura CRM software.
- Manage box office activities: ticket and season subscription sales, outbound renewal calls, ticket exchanges, general inquiries, and mailing operations.
- Facilitate group ticket sales, including for educational groups.
- Support various departments with tasks such as preparing charitable receipts for Fund Development, provide regular sales reports, etc
- Engage in all opera productions and events, including setup, sales, customer service, and teardown processes.
- Prepare and manage daily reconciliation and batch reports, as well as update subscription and attendance records.
- Provide weekly ticket sales report to management
- Operate a temporary box office at the Jubilee Auditorium or other venues during performances.
- Organizing and sending invitations to team meetings.
- Perform additional duties as required.
Executive Assistant to the Board
- Ensure annual board and committee meeting invitations are sent via calendar invitations on an annual basis, with any updates attended to as needed
- Draft board and committee agendas in collaboration with the executive director
- Ensure board and committee meeting materials are sent in advance of meetings, working with the executive director, artistic director, and CFO to collect necessary materials
- Take minutes at board and committee meetings, and ensure these are signed in a timely fashion by the board or committee chair, then filed appropriately to support Edmonton Opera’s annual audit
- Coordinate meeting locations as necessary
- Ensure technology for virtual meetings is set up in advance and operational
- Lead the coordination of the annual board retreat, working in collaboration with the executive and artistic director to plan the agenda and activities
- Additional administrative board related work as required
Preferred Qualifications & Skills
- Highly professional manner, with demonstrated ability to handle confidential information with discretion
- Exceptional customer service and communication skills, with prior experience highly regarded.
- Proficiency in using a CRM software; experience or readiness to learn Tessitura ticketing software, with training provided.
- Retail or sales background beneficial but not essential.
- Strong organizational skills with the flexibility to manage multiple tasks.
- Proficient in Microsoft Office Suite including the ability to work with basic spreadsheet functions
- Collaborative team player.
- Self-motivated with the ability to work independently and support team efforts during slower periods.
- Technologically adept with basic troubleshooting skills
Work Schedule
40-hour work week, Monday to Friday, 9 am to 5 pm, with a flexible hybrid schedule. Availability is also required for occasional evenings and weekends during performances and special events.
Workplace
- Located at #102 11442 168 Street NW, with events at the Northern Alberta Jubilee Auditorium and other venues. Parking is provided at both the Opera Studio and performance venues.
