Job Overview
We are seeking a highly organized and detail-oriented Construction Administrator to join our team. This role is vital in supporting construction project operations for residential new construction developments. The candidate will ensure efficient documentation, communication, and project management. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various software tools, experience in project management and customer service. The Construction Administrator will play a key role in maintaining records, coordinating procurement, and facilitating smooth project workflows within a dynamic construction environment.
Responsibilities
- Manage and maintain project documentation, records, and databases using Trello, Google Drive, and other relevant tools
- Submit permits and other building applications
- Coordinate procurement activities and assist with filing and records management to ensure compliance with company policies
- Support project managers with scheduling, time management, and organizational tasks to meet project deadlines
- Assist with after-sales concerns and claims by gathering data, dispatching trades and supporting homeowners
- Oversee administrative functions such as filing, record keeping, and maintaining databases to ensure accuracy and accessibility
- Provide exceptional customer service to internal teams and external clients or vendors
Requirements
- Proven experience in administrative roles within the construction or related industries
- Strong proficiency with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
- Excellent organizational skills with the ability to manage multiple tasks efficiently
- Effective communication skills in English; bilingual ability in French is preferred
- Demonstrated analysis skills for data interpretation and report generation
- Experience with project management tools and techniques is highly desirable
- Strong writing skills for preparing clear reports and correspondence
- Knowledge of procurement processes, records management practices, filing systems, and negotiation strategies
- Ability to work independently as well as part of a team while demonstrating leadership qualities when necessary
- Exceptional time management skills to prioritize tasks effectively within fast-paced environments
- Previous experience in customer service or client-facing roles is a plus
