This position will serve as the right hand to the Executive Vice President, Operations and Chief Commercial Officer, while supporting the management team.

The successful candidate must have a solid understanding of the concept of confidentiality, initiative, and a strong attention to detail in a fast-paced environment. This role requires a dedicated multi-tasker who is highly organized with the ability to prioritize tasks and schedule. The candidate must be able to handle day to day tasks involving judgment and analytical skills on a regular basis.
Manage and maintain the agenda and travel arrangements of the Executive Vice President, Operations and Chief Commercial Officer
Assist with special projects and assignments while maintaining a high degree of confidentiality
Assist Senior Management with daily management, scheduling meetings, note taking and redaction of minutes
Supervision of the Assistant, Administration
Assist in drafting of proposals and quotations
Management of events meeting schedule
Monitor, respond, and distribute incoming communications
Preparation and submission of expense claims
Act as resource personnel for departmental colleagues with respect to administrative issues
Maintain customer database (Dynamics CRM)
Liaise with various management and support functions
Assist with the creation, formatting and maintenance of global documentation
Prepare and review documents including correspondence, reports, drafts, memos and emails
Perform other duties as required

4-8 years of experience as an executive assistant
Excellent communication skills in English and French (written and spoken)
Solid knowledge of Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
Exercise a high degree of confidentiality
Strong work ethic and integrity
Demonstrate a high sense of responsibility, autonomy and organization
Analytical skills in communication, exercise good judgment and be resourceful
Strong interpersonal skillsMulti-tasking and prioritization in a fast-paced environment with close attention to detail, accuracy and timeliness.
Experience in a supervision role is an asset
