We are looking for a Client Experience Leader to become an essential part of our growing dental practice.
This is not a traditional reception role.
It is a unique hybrid position that combines dental administration, patient coordination, and chairside assisting, making it ideal for someone who enjoys variety, loves working with people, and wants to play a meaningful role in both the patient experience and the success of the practice.
You will be a key member of our team—helping patients feel welcomed and cared for, supporting treatment acceptance, assisting clinically when needed, and helping ensure each day runs smoothly from start to finish.

Full-time (30–37 hours per week)
Typical Schedule:
- Monday: 12:00 PM – 8:00 PM
- Tuesday: 12:00 PM – 8:00 PM
- Wednesday: 12:00 PM – 8:00 PM
- Thursday: 12:00 PM – 8:00 PM
- Friday: Occasionally 8:30 AM – 2:30 PM
- Weekends: Off
Flexibility is required based on patient and practice needs.
You will often be the first and last person our patients interact with, making you a critical part of the overall patient experience.
Responsibilities include:
- Greeting patients warmly and professionally
- Answering phones and responding to patient inquiries
- Scheduling and confirming appointments
- Managing treatment-planned appointments
- Checking patients in and out
- Helping patients understand treatment recommendations and financial arrangements
- Supporting treatment acceptance conversations
- Assisting patients with insurance-related questions and documentation
- Building positive relationships that encourage patient loyalty and trust
- Acting as an advocate for the patient experience during team meetings and daily huddles
This role includes regular chairside assisting to support the clinical team and ensure a seamless patient experience.
Responsibilities include:
- Assisting during dental procedures
- Preparing treatment rooms and operatories
- Taking radiographs when required
- Supporting patient comfort and clinical flow
- Maintaining sterilization protocols
- Helping the team stay efficient during busy clinical days
Supporting smooth handoffs between the clinical and administrative teams

You will help keep the practice organized, productive, and running efficiently.
Responsibilities include:
- Maintaining accurate patient records and documentation
- Verifying insurance eligibility and benefits
- Submitting and tracking pre-determinations
- Posting payments and monitoring claims
- Coordinating patient communications and follow-up
- Monitoring schedules to optimize productivity and patient flow
- Assisting with office systems and administrative processes
- Supporting patient retention and engagement initiatives
- Participating in team meetings and daily huddles
Completing opening and end-of-day procedures

Most importantly, you are someone who takes pride in helping patients feel cared for and helping your team succeed.
- Minimum 3 years of dental practice experience
- Dental Assisting Diploma or equivalent dental experience
- HARP Certification
- Current CPR Certification
- Comfortable assisting chairside when required
- Strong understanding of dental insurance and treatment planning
- Experience with Tracker software is considered an asset
- Excellent verbal and written English communication skills
