The Engineering Career Centre (ECC) connects University of Toronto students with meaningful professional experiences that provide a solid foundation for successful careers and life-long learning. In addition to hosting a wide range of professional development workshops, events and services throughout the year, the ECC team runs two work-integrated learning programs to connect engineering students with a wide range of industry opportunities. Reporting to the Executive Director, Engineering Career & Experiential Learning (EXCEL), the incumbent provides a full range of general administrative duties at the Engineering Career Centre.
Your responsibilities will include:
Maintaining calendar and filling system of the Executive Director. Supporting senior staff with meeting bookings and arrangements
Arranging catering for departmental meetings
Coordinating departmental HR interview schedules
Facilitating meeting schedules, agendas, materials, action and follow-up items
Writing routine documents and correspondence
Collecting and submitting expense reimbursement claims; Verifying the accuracy of invoices
Providing administrative support to leadership team for departmental budget administration
Acting as the first point of contact for general enquiries. Responding to routine enquiries from faculty, staff, alumni, students and industry partners. Acting as a resource for staff by providing information regarding policies (e.g. vacation, overtime, scheduling, etc.)
Completion of a two year post-secondary program or equivalent combination of education and experience, preferably in a student life environment
Minimum two years’ experience providing administrative and front-line services in an office setting
Excellent customer service and interpersonal communication skills
Must be able to prioritize, organize and handle a variety of tasks, projects and deadlines simultaneously with minimal supervision and produce accurate work
Ability to work under pressure and meet deadlines
Proficiency with MS Office Suite, including Outlook, Word, Excel and PowerPoint, and web-based software
Effective oral and written communication skills
Ability to work both independently and collaboratively as part of a team
Prior experience in a career centre environment
Knowledge of the University of Toronto or experience working in a higher education (preferably student life) environment
