About the Job:
Reporting to the Executive Director, Operations (EDO), the department coordinator provides confidential administrative assistance and secretarial support to EDO, designated Directors, and the operations department. The Department Coordinator, Operations reviews and prioritizes information of a sensitive and confidential nature, coordinates the flow of information, ensuring accurate and timely delivery of administrative services, and keeps the EDO apprised of issues and activities. They exercise considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature. They work independently and communicate in a professional and courteous manner that promotes positive and respectful relationships both within Atira and to outside agencies; they communicate clearly and succinctly both orally and in writing.

You take your responsibilities seriously as “internal customer service” by supporting the day-to-day work of senior staff assigned to you, including but not limited to: general correspondence, including word processing and secretarial support; meeting planning and preparation; digital file maintenance and filing (both physical and electronic); preparation of monthly expense reporting and assistance with accounts payables approvals; payroll entry support; and, as with all jobs, other duties as required.
The Department Coordinator, Operations collaborates with peers to ensure administrative systems and processes are consistently followed and monitored for effectiveness and that gaps are addressed and resolved when identified. You employ expertise in the use of desktop computer applications to create a variety of documents and presentations.
You graduated from a recognized administrative assistant/secretarial post-secondary program and have three (3) years of senior administrative support experience or an equivalent combination of education, training and experience. Education and credentials will be valued only as much as work experience. You have advanced computer skills and are a fast and accurate typist.
