About the Role
Provides front line general client information services; types, duplicates and reproduces a variety of materials; processes daily mail; composes routine correspondence; answers inquiries by phone, in-person or through e-mail from students, alumni, and employers, and ensures the proper distribution of information to relevant parties; updates, inputs and maintains the integrity of information systems, databases (Orbis & TRACS), web pages, and office files; assists with the administration of meetings, events, workshops, seminars and special events; maintains the petty cash fund; assists with the purchase of office equipment and supplies; and assists with arranging travel activities. Updates and maintains student and internship employment information in the centre's info management system, Beedie Community (Orbis). Other duties include verifying student information on the Student Information Management System (SIMS); coordinating the logistics and A-V requirements of workshops and information tables; printing out specialized reports; assembling and sending out courier packages; maintaining an internal student resource library; and tracking receipts/department transactions. Prepares and confirms charges for department's invoices, debit statements, journal vouchers and purchase card receipts for sign off by the supervisor. Contributes to the strategic planning and development of the CMC, by attending meetings, taking notes and producing a summary and/or minutes of the meetings, providing input, and participating in committees, and in general helps the department to run smoothly.
Candidates with the following skills will be given preference: Strong Communication Skills; Organizational and Time Management Skills; Technology Proficiency: Competence in MS Word and Excel for documentation and data management; Data analysis and creation of reports.
