Administrative Assistant PL4

Reporting to the Director of Athletics, the Administrative Assistant PL4 is responsible for aspects of financial processing, student assistant staffing, facility scheduling, as well as the fitness offerings.
Representative Responsibilities
  • Responsible for HR & Financial Services forms for processing and communication.
  • Front line service provider for students, faculty, staff & community.
  • Maintain a sufficient inventory of office supplies and maintain a facility membership list and sell passes.
  • Receive staff meeting agenda items and take minutes in meetings.
  • Schedule and coordinate events in the G. Forbes Elliot Athletics Centre and Canada Games Stadium.
  • Responsible for generating invoices and follow up of payments with Financial Services.
  • Manage rental group contracts, insurance requirements and invoices.
  • Responsible for matters related to the student assistants and for all athletic associated registration fees.
  • Provide job and facility orientation.
  • Ensure accident report forms are filled out and taken to Safety & Security as needed.
  • Responsible for maintaining and updating databases related to payments and participation for all programs.
  • Organize for all aspects of fitness and specialty offerings.
  • Responsible for recruiting, hiring and scheduling instructors.
  • Promote program offerings through all available means.
  • Work with other members of the Athletics to ensure history tracking and reporting for all athletics programs.
  • Post-secondary Business diploma or an equivalent combination of minimum three years related training and experience.
  • Experience working in a university setting preferred and experience working in an athletics-related environment would be an asset.
  • Computer experience including Microsoft Word and Excel; WebTimeEntry, Elluision is an asset.
  • Knowledge of accounting.
  • Ability to work effectively and efficiently under conditions with frequent interruptions and the pressure of meeting deadlines.
  • Demonstrated strong organizational, interpersonal and communication skills.
  • Ability to manage a diverse and time sensitive workload; ability to handle confidential issues in an efficient and professional manner.
  • Must be a tactful team player, working with little supervision; must be flexible and willing to work some evenings and weekends.
  • Must have standard workplace CPR.
