Position Overview
Henderson Group is seeking a highly organized, proactive, and dependable Executive Assistant with construction and civil industry knowledge to provide direct support to the President and assist with the coordination of company operations. This position is ideal for an individual who understands the fast-paced nature of the construction industry and can confidently work with project managers, superintendents, site teams, clients, subcontractors, and senior leadership. The successful candidate will be comfortable working with construction terminology, project documentation, schedules, meetings, and administrative requirements.
The Executive Assistant will play an important role in keeping the President organized, ensuring follow-up on key priorities, supporting project and company initiatives, and helping maintain effective communication between the office and field operations.
Key Responsibilities
- Manage the President’s daily calendar, appointments, meetings, and commitments.
- Coordinate emails, phone calls, correspondence, and follow-up items on behalf of the President.
- Prepare reports, presentations, meeting agendas, minutes, correspondence, and other business documents.
- Assist with construction-related meetings, project planning, scheduling, and follow-up.
- Support the President and Project Managers with administrative requirements and project documentation.
- Review and organize construction documents, drawings, reports, invoices, change orders, and other project-related information.
- Coordinate communication between the President, Project Managers, Superintendents, clients, subcontractors, vendors, and office staff.
- Track action items and ensure follow-up is completed within required timelines.
- Assist with company meetings, site meetings, events, and client functions.
- Assist with travel arrangements, itineraries, and accommodations as required.
- Organize and maintain confidential company files, records, and administrative systems.
- Assist with basic bookkeeping, expense tracking, invoice organization, and documentation.
- Support the coordination of company projects, initiatives, and special assignments.
- Assist with general administrative duties and provide support to the office and project management teams as required.
- Maintain a high level of confidentiality when handling company, employee, client, and financial information.
- Perform other related duties as assigned by the President.
Qualifications & Experience
- Minimum 3 years of experience in an Executive Assistant, Administrative Assistant, Project Coordinator, or similar role.
- Previous experience in the construction, civil, engineering, or related industry is strongly preferred.
- Working knowledge of construction terminology, project processes, and job-site operations.
- Strong organizational, scheduling, and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Ability to read and understand basic construction documentation, drawings, schedules, and project correspondence.
- Strong attention to detail and accuracy.
- Ability to manage confidential and sensitive information professionally.
- Ability to prioritize competing deadlines and manage multiple projects simultaneously.
- Comfortable communicating with senior leadership, employees, clients, subcontractors, and vendors.
- Professional, dependable, and approachable with strong interpersonal skills.
- Self-motivated with the ability to work independently and take initiative.
- Ability to identify issues, follow through on tasks, and provide solutions rather than simply identifying problems.
