Job Summary
Small friendly paramedical office is seeking a full time Office Manager for 32-36 hours/week. We are in need of a highly organized and detail-oriented Office Manager to oversee daily administrative operations within our office environment. The ideal candidate will possess strong clerical skills, excellent customer service abilities, and proficiency in various office software. This role involves managing front desk activities, handling data entry, and supporting overall office efficiency to ensure smooth business operations.
Responsibilities
- Manage front desk duties, including greeting clients and answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, and QuickBooks
- Oversee filing systems, and general administrative support such as photocopying, scanning, and mailing
- Coordinate appointment scheduling and manage work flow for tech staff
- Provide exceptional customer support and respond to inquiries in a courteous manner
- Assist with bookkeeping tasks and financial record keeping using QuickBooks
- Support office operations, including managing client information and verifying insurance details
- Maintain organized office environment to enhance productivity and efficiency
Requirements
- Experience in office administration or clerical roles, preferably in medical offices
- Strong computer skills with proficiency in QuickBooks would be an asset
- Excellent organizational skills with keen attention to detail for file management and data entry tasks
- Ability to handle multi-line phone systems professionally and demonstrate strong client service skills
- Experience with filing systems, administrative procedures, and front desk management
- Demonstrated ability to prioritize tasks effectively
- Strong typing skills with the ability to perform accurate data entry quickly
- Knowledge of medical office procedures is a plus but not required; relevant experience will be considered favorably
- Excellent communication skills including proper phone etiquette and client support capabilities
Pay: $28.00-$32.00 per hour
