We are seeking a detail-oriented and analytical Clerk III to manage and administer fuel and lubricant storage and consumption operations for the Corporation. In this role, you will play a vital part in ensuring the operational readiness of City-owned fleets, including emergency vehicles and transit buses, by maintaining precise inventory levels, managing commercial fuel vendor relationships, and overseeing fleet fuel card administration
What will you do?
Inventory & Fuel Operations:

Manage fueling operations for Corporation fuel and lubricants storage sites
-
Maintain precise inventory levels to ensure operational readiness for City-owned fleets, including emergency vehicles and transit buses
-
Track and order inventory of over 40 million liters of gasoline and diesel annually
-
Monitor 13 remote fuel storage locations using Veeder-Root remote tank-level sensor systems for leak detection protocols

Collaborate with different facilities to coordinate deliveries and supplies

Independently manage commercial fuel and lubricant purchases, trac king consumption for over 2,000 vehicles and equipment
Administration & Compliance:

Oversee the activation, reprogramming, and lifecycle management of approximately 1,400+ Fleet Cards and Fobs

Create Purchase orders, perform goods receipts, and verify deliverable quantities and unit pricing to process vendor invoices accurately

Process and upload monthly external vendor credit card transactions into the M5 and upload fuel transactions in SAP/M5 system

Administer Fuel Management software systems to provide authorization for employees and create IDs for equipment to fuel

Creating reports and conducting Inventory reconciliation

Provide direct assistance and support to City employees with questions, troubleshooting, or operational issues regarding fueling and fuel access

Liaise with internal departments, external vendors, and contractors to resolve fueling-related inquiries promptly

Ensure compliance with ENVISO standards and relevant fire codes
Qualifications:
-
Completion of Grade 12 (or GED). A two-year Diploma or Certificate in a related field (e.g., Business Administration, Accounting, or Supply Chain Management) is preferred

A minimum of three (3) years of progressively responsible administrative, inventory control, or financial reconciliation experience. Experience in a high-volume fleet, logistics, or asset management environment is highly desirable

Direct proficiency in enterprise applications including SAP Ariba, SAP ECC, and M5
-
Proficiency with technology platforms including Google Workspace and MS Office

A good understanding of procurement, contract management, and supply chain principles would be an asset

Demonstrated experience in managing high-volume workload under strict timelines and deadlines
Skills required for success:

Ability to resolve complex financial, system, and inventory errors using strong analytical judgment

High level of accuracy in reconciling large volumes of daily transactions and managing sensitive data

Strong verbal and written skills to liaise with internal departments, external vendors, and contractors

Demonstrated ability to coordinate time-sensitive tasks under pressure, including emergency fuel ordering and maintenance dispatch

Proven ability to handle sensitive information with discretion

Skill in managing vendor interactions and contributing process insights for onboarding and contract updates
