Job Summary
We are seeking a highly organized and responsible Studio and Property Manager to oversee daily office operations, administrative processes, and record management to ensure efficient workflow across the organization. This role supports property management functions by preparing and issuing required tenant notices, maintaining documentation, and coordinating filings related to Landlord and Tenant Board (LTB) matters in compliance with Ontario’s Residential Tenancies Act. The ideal candidate is highly organized, detail-oriented, and able to manage confidential information while communicating professionally with tenants, staff, and external partners/vendors.
Responsibilities
- Assist with property management tasks.
- Address issues and resolve problems/complaints from residential and commercial tenants.
- Prepare and serve required notices and documentation in accordance with Ontario’s Residential Tenancies Act.
- Support eviction or tenancy enforcement processes in accordance with the Landlord Tenant Board (LTB) procedures.
- Oversee daily studio operations, ensuring a welcoming and professional environment
- Manage client appointments, inquiries, and bookings with exceptional phone etiquette
- Establishes, implements, and maintains office routines and filing systems.
- Utilize Sage software for financials
- Facilitate conference calls and training sessions
- Liaison between the executive and any external vendors and/or partners
- Coordinate schedules for staff
- Handle administrative duties including filing, data management, and record keeping
- Maintain client/vendor relationships through effective communication and personalized service
- Negotiate contracts or agreements with vendors or clients
- Provide general support to studio visitors.
- Assist in the onboarding process for new hires.
- Ensure rules and policies established by upper management are enforced.
Experience
- Proven experience in office administration, property management, or related fields
- Strong proficiency with various Microsoft software
- Excellent customer service skills with the ability to handle inquiries professionally
- Experience in client relationship management to promote studio offerings effectively
- Competence in data entry, filing, and general administrative tasks
- Prior experience in negotiation and handling client or vendor relationships is advantageous
- Exceptional phone etiquette and communication skills are essential for success in this role
