The Renewal Administrator is responsible for managing the full renewal process from processing individualized renewal documents, maintaining multiple contact points, and renewing tenants for another year of tenancy. This role is critical to the company’s success, balancing structured renewal management with an ever-improving tenant experience. The position requires strong organization, communication, and sales skills to deliver consistent results and support the team’s growth.
This position will be located in office at our head office at 7 Green Acres Lane, Navin, MB. Remote or hybrid work are not available for this role.
Key Responsibilities:
- Generate and process individualized renewal offers for all tenants with expiring leases, ensuring accuracy of terms, rates, and lease dates before offers go out.
- Distribute renewal offers to tenants within established timelines and confirm receipt.
- Own all tenant communication related to the renewal from initial offer through signed lease, serving as the tenant's single point of contact throughout the process.
- Execute a structured, multi-touch outreach cadence of up to seven contact points across the 30-day response period, adjusting tone and channel (email, phone, text, in-person) based on tenant responsiveness and stage in the decision cycle.
- Negotiate renewal terms with tenants within approved guidelines to convert hesitant or undecided residents into signed renewals.
- Identify objections or obstacles to renewal — maintenance requests, unresolved tenant relations issues, billing disputes, or service concerns — and partner with the relevant department to resolve them quickly.
- Track and manage the full renewal pipeline for every unit in the portfolio, flagging at-risk renewals and escalating as needed to leadership.
- Maintain accurate, up-to-date records of renewal status, tenant communications, and outcomes in the property management system.
- Report on renewal conversion rates, response timelines, and non-renewal reasons to support retention strategy and forecasting.
- Coordinate with leasing and marketing teams to ensure a smooth handoff for tenants who choose not to renew, protecting turnover timelines.
- Continuously refine renewal messaging and outreach timing based on what is and isn't converting.
Professional Qualifications & Experience:
- High school diploma or equivalent required. Associate or bachelor’s degree preferred.
- Must have valid Class-5 Driver’s license and access to reliable vehicle.
- Clear criminal background check is required.
- 1+ years of experience in property management, leasing, sales, account management, or a customer retention role an asset; multifamily housing experience strongly preferred.
- Demonstrated ability to negotiate and close, with a sales mindset applied to retention rather than new acquisition.
- Strong organizational skills and comfort managing a high-volume pipeline with firm deadlines (30-day response windows across many units simultaneously).
- Excellent written and verbal communication skills; able to tailor tone across email, phone, text, and in-person conversations.
- Proven ability to collaborate cross-functionally, particularly with maintenance and tenant relations teams, to resolve issues that stand in the way of a renewal.
- Comfort with follow-up and persistence — able to execute a multi-touch outreach cadence without stressing the tenant relationship.
- Proficiency with property management software and general office/CRM tools (Experience with Entrata an asset).
- Strong attention to detail, particularly around lease terms, rates, and dates on individualized offers.
- Problem-solving orientation.
