Summary
We are seeking a highly organized and experienced administration professional to join our team as a Compliance Coordinator. Working closely with our Project Managers, our Compliance Coordinators keep track of job tasks, monitor for compliance, verify that budgets and invoices are accurate to meet Paul Davis Edmonton’s Service Level Agreements (SLAs) and ensure all work and documentation meets required internal and industry standards.
Responsibilities
- Review job and documentation compliance in reporting systems; ensure all preliminary reports and data meet SLAs
- Ensure assignments are correctly linked across systems; confirm that budgets are accurate and match work orders; upload estimates; verify site inspection and making notations once appointments are set; ensure preliminary reports, site photos, signed authorizations, checklists and other required documents are attached to the job file; confirm deductible payments have been received; upload psychrometric test results; track target start and completion dates, drying logs, asbestos test results, subtrade quotes, and other relevant information; manage the submission of ICC samples; monitor for receipt of Certificate of Completion; prepare files for invoicing, review job cost variances, balance invoices and submit to Accounts Payable for invoicing; close files in systems
- Respond to client inquiries and escalations within Paul Davis Edmonton’s expected turnaround time
- Act as backup to Reception
Qualifications
- Minimum 1 year of experience in an Administrative Assistant or Receptionist role
- Experience in the restoration or construction industry is an asset
- Familiarity with industry specific software (e.g., Xactimate, XactAnalysis, RMS, Encircle, etc.) is an asset
- Basic to Intermediate Microsoft 365 skills and aptitude to learn new technology with ease
- Refined attention to detail
- Ability to multitask, prioritize, meet deadlines, and adapt to a constantly changing work environment
- Ability to address and resolve conflicts independently and facilitate solutions
