The Administrative and Financial Assistant will provide high-quality administrative and financial services to support the day-to-day operations of the academic and financial units with the Department of Physical and Environmental Sciences.
The incumbent will utilize their strong administrative and financial skills to support a diverse array of activities. Your knowledge of accounting fundamentals and keen attention to detail will be critical in supporting financial and accounting activities (e.g. preparing payroll documentation, expense reimbursements, deposits, invoices etc.). In addition, you will provide high-quality administrative support to activities related to (but not limited to): Creating and editing a diverse array of correspondence and documentation, gathering and formatting information and/or data for presentations and reports, coordinating meeting schedules, agendas, materials, action and follow-up items, coordinating student testing and examinations, providing support to hiring activities for part-time academic staff, coordinate space and resource requirements, and event coordinating activities.
In this role, you will be a welcome addition to our dynamic and growing department. The multifaceted nature of this role will allow you to showcase your strong administrative and financial skills.
Your responsibilities will include:
Acting as the first point of contact for general enquiries
Provides administrative support by: writing routine documents and correspondence, disseminating information, updating and maintaining records and verifying the accuracy and completeness of documents, etc.
Financial responsibilities include: preparing expense reimbursements, preparing payroll records for processing, preparing and recording deposits, processing and issuing invoices, etc.
Preparing draft employment letters using templates and collecting supporting documentation required for payroll and/or HRIS processing
Supports test and examination activities by: preparing and disseminating examination timetables, and coordinating the receipt and storage of all examinations and related materials
DeterminingÂ logistical details and activities for events and/or programming
Liaising with stakeholders to coordinate space and resource requirements
Maintaining information on digital platforms and disseminating information via social media
Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
Minimum of 3 years of related experience providing office administrative and financial administration support in a fast-paced environment
Strong grasps of accounting and financial fundamentals with the ability to analyzing financial information and generate financial reports
Experience drafting, editing, and preparing a variety of written documentations and correspondence
Experience coordinating meetings, taking minutes and recording action items in meetings
Experience coordinating space allocation, access management, ordering and maintaining supplies
Experience determining logistical details for events and/or programming
Strong proficiency with MS Office 365 suite (Word, Excel, PowerPoint, OneDrive, SharePoint, etc.)
Strong customer service skills with the ability to produce high quality work products and work well with a variety of stakeholders
Good judgment and decision-making skills with the ability to deal with confidential materials and matters with discretion and diplomacy
Strong time management and organizational skills with the ability to work efficiency and productivity in a fast-paced environment

Education in Business or Science related field (e.g. Environmental Science, Biology, Chemistry, Physics)
Familiarity with the University's FIS, and HRIS systems
Familiarity with Quercus or similiar post-secondary Course management system
Knowledge of the University’s Guide to Financial Management

Pay Scale Group & Hiring Zone:
USW Pay Band 09 - $58,824 with an annual step progression to a maximum of $75,227. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
