Position Summary
Reporting to the Senior Director, People & Culture, the Coordinator, People & Culture provides day-to day coordination and administrative support to the People & Culture team, helping ensure P&C processes, programs, systems and employee records are accurate, current and operating smoothly.
The role also supports the delivery of People & Culture programs and services through HR System administration, employee records management, safety and disability administration, payroll and benefits support, compliance activities and coordination of employee programs and initiatives. Additional duties of the Coordinator, People & Culture include but are not limited to:
People & Culture Administration
- Prepares and maintains employee records, People & Culture files, and other related documentation, ensuring files and records are complete and up to date.
- Assists in creating and editing various templates and documents, including employee forms, checklists, job descriptions, Personnel Action Notices (PANs), and other People & Culture materials.
- Ensures distribution lists are current and maintained for relevant internal teams.
- Assists with building materials and files for annual People & Culture processes.
- Maintains inventory and supply of onboarding boxes.
- Monitors and reports on department budgets.
HRIS & Data Management
- Acts as a primary administrator for Oracle HCM, ensuring employee data is accurate, complete and up to date.
- Ensures employee information is continuously updated across systems.
- Serves as back-up for quarterly testing of our HRIS system.
Audit, Safety, Payroll, Wellness, & Compliance
- Performs administrative duties associated with Crombie’s disability programs.
- Performs administrative duties associated with Crombie’s safety program and Workers’ Compensation Board (WCB) claims.
- Coordinates work permit tracking and related documentation.
- Collaborates with the team to coordinate and support internal and external audit processes.
- Serves as support and backup for payroll and benefits processes.
- Assists with administering Crombie’s wellness reimbursement program.
Team & Employee Support
- Supports People & Culture team and the business with various projects, communications, presentations, reporting, and analysis.
- Provides responsive and professional administrative support to employees, leaders and members of the People & Culture team.
- Provides logistical support with meetings and events.
- Engages across all levels of the organization to create and promote a safe and respectful work environment.
- Other special projects and tasks as assigned.
The profile we are looking for
- Post-secondary education in Human Resources, Business Administration, or a related discipline.
- 2-4 years of administrative or coordination experience, preferably within Human Resources or a related business function.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment and deliver high-quality work with attention to detail.
- Aptitude for learning and working with various technology-based systems.
- Strong proficiency working with Microsoft Office, particularly Excel, Word and Outlook.
- High level of professionalism, discretion, and sound judgment when handling confidential and sensitive information.
- Self-starter with a strong desire to learn, take initiative, and contribute to continuous improvement and project work.
- Experience preparing reports, maintaining data and working with multiple systems and information sources.
- Experience working with HRIS/HCM systems; Oracle HCM experience is considered an asset.
- Experience working with and reporting on budgets is an asset.
