About the Role
The Intake Coordinator plays a key role in supporting the delivery of Independent Medical Evaluations and related services across Canada.
Intake Coordinators manage a high volume of active files while coordinating appointments, maintaining service level agreements, and delivering exceptional customer service to clients, assessors, and examinees.
The successful candidate will work in a fast-paced environment requiring strong attention to detail, excellent communication skills, sound judgment, and the ability to manage competing priorities while meeting established service standards.
Key Responsibilities
- Book, confirm, cancel, and make all appointment arrangements for Independent Medical Examinations in accordance with Service Level Agreements (SLAs).
- Communicate with assessors, clients, and examinees regarding appointment scheduling, appointment changes, and receipt of medical records and/or images.
- Create and process confirmation letters for scheduled appointments.
- Respond promptly to incoming calls, emails, and faxes from assessors, clients, and examinees.
- Communicate clearly and professionally with clients, assessors, and examinees.
- Review incoming referrals for completeness and accuracy.
- Coordinate ancillary services such as interpreters, transportation, and chaperones.
- Maintain accurate records within company operating systems.
- Escalate scheduling or service issues as appropriate.
- Ensure Service Level Agreements are consistently achieved.
- Perform other duties and responsibilities as assigned.

Required Qualifications
- High school diploma or post-secondary education.
- Minimum two (2) years of experience in scheduling, customer service, healthcare administration, insurance, rehabilitation, or a related administrative environment.
- Strong verbal and written communication skills.
- Strong organizational and time management skills.
- Proficiency with Microsoft Office applications.
- Strong attention to detail and accuracy.
Preferred Qualifications
- Experience within the Independent Medical Evaluation (IME) industry.
- Experience with SABS, disability management, personal injury, or insurance claims.
- Experience using ExpeFlow, SmartSimple, or similar IME workflow systems.
- Experience working within Service Level Agreement (SLA)-driven environments.
