The Institute of Islamic Studies (IIS) at the University of Toronto incubates advanced research projects in the study of Islam and Muslims. A collaborative research space, the IIS brings together researchers from across disciplines, regional interests, and historical periods. Engaging research leaders, artists, public policy institutes, and community organizations, the IIS is an intellectual crossroad where people and ideas meet, develop, and transform.
Under the general direction of the Director, IIS, the Administrative Coordinator provides administrative, financial and operations support for the IIS.
Your responsibilities will include:
Acting as the first point of contact for general enquiries and responding to enquiries within the defined scope of the role, and redirecting as appropriate
Maintaining senior staff calendars and informing senior staff of impending deadlines
Writing routine documents and correspondence, and maintaining information on digital platforms
Scheduling travel plans and requesting appropriate accommodations
Conceptualizing, organizing and executing event activities
Planning and administering expenditures for operating budget; monitoring department budget to ensure expenditures remain within budgeted allocations
Applying the University Guide to Financial Management and other applicable policies, agency and regulatory requirements when processing accounts receivable and accounts payable
Applying established standards to control the distribution of access to designated University spaces
Advanced College Diploma (3 years) in accounting or business administration, or an acceptable equivalent combination of education and experience.
Minimum three (3) years’ of recent and related experience in financial administration (e.g. payroll, financial processing, and budget administration) and administrative support in a postsecondary or research-intensive institution.
Demonstrated experience with U of T's Administrative Management System (e.g. FIS and HRIS), or equivalent systems.
Experience maintaining and organizing administrative, financial and HR records.
Experience interpreting and applying policies and procedures (e.g. financial policies/procedures, collective agreements).
Experience applying generally accepted accounting principles.
Strong client services orientation and experience providing front-line support.
Experience planning, executing, and promoting events.
Experience editing and proofreading communications materials, and social media campaigns.
Experience updating and maintaining websites.
Experience taking minutes.
Advanced skills in SAP (specifically FIS and HRIS), or similar systems.
Demonstrated advanced skills with Microsoft Office Suite (e.g. Word, Excel, PowerPoint, Outlook).
Familiarity with video/audio conferencing software (e.g. Zoom, Microsoft Teams).
Excellent organizational and time-management skills with demonstrated ability to meet deadlines, and to manage competing, new, and changing priorities.
Excellent oral and written communication skills.
Knowledge and experience with the IIS or the Faculty of Arts and Science.

Pay Scale Group & Hiring Zone:
USW Pay Band 10 - $62,464 with an annual step progression to a maximum of $79,879. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
