Financial Planning Administrative Assistant - Downtown Vancouver

We are Murrick Financial Planning Services, an independent financial planning and advisory firm specializing in wealth management for individuals and tax planning and risk management for small to mid-market businesses and their owners. We are well-established and on a strong growth trajectory, leading to our need to hire an Investment Administrator/Executive Assistant to work in our downtown office.
WHAT YOU’LL BE DOING EVERY DAY
Bring your extraordinary time management skills and detail orientation to this exciting opportunity! You’ll complete various administrative tasks for on-boarding and management of individual client investment plans and insurance policies. You’ll facilitate the work of the Financial Planner, so his efforts can be focused on client relationships and business development. To accomplish this, you’ll do the following:
» Assist with a variety of office administration tasks that help us operate at optimal efficiency, such as updating client contacts in our proprietary database, maintaining supplies inventory, and managing courier and mail deliveries
» Schedule and coordinate meetings; prepare related documentation, ensuring completeness and accuracy for sign-off and that all account information is presented in keeping with firm procedures
» Gather data to initiate the client on-boarding process and establish yourself as their key contact for ongoing administrative inquiries, updates and transactions
» Liaise directly with the investment and insurance companies and communicate back to clients in a timely manner, taking whatever steps are needed to ensure their questions are fully answered
» Submit insurance applications to Managing General Agency, liaise with case manager and prepare issued insurance policies for delivery to clients
» Entering client data into our investment dealer’s database and processing trades
» Work collaboratively with another administrative assistant to administer all tasks required for managing the needs of clients and the financial planner
IDEALLY, YOU’RE SOMEONE WHO BRINGS:
- Previous experience in administrative support or office management, ideally in a professional service-driven business environment; financial services industry experience may be an asset, but is not essential; full training will be provided
- Proven ability to complete selected administration tasks which can include document reviews, archiving, tracking documentation, and accurate data processing
- Intermediate level fluency with Outlook, Word, Excel and database programs
- While you will have clearly defined responsibilities to manage, the company’s work environment is strongly team based, and you’ll be expected to develop strong peer relationships for the benefit of the entire team
- A professional demeanor coupled with a positive and constructive sense of humor
- Strong organization skills, accuracy and detail-orientation are integral to success in this role
- Formal office administration or bookkeeping training would be a definite asset
- The position is up to full-time, Monday to Friday during regular business hours
- Compensation commensurate with education and experience
