Housing Alternatives Inc. is a private, non-profit organization that provides development and management services to both Housing Co-operatives and Non-Profit Housing Organizations in New Brunswick and Prince Edward Island.
POSITION SUMMARY:
Reporting to the Manager of Property and Client Services, this position is responsible for maintaining positive resident relations by providing exceptional customer service and for administration support on a variety of landlord and resident activities.
RESPONSIBILITIES:
Resident and Partner Agency Liaison
- Provide positive and effective communication with tenants, residents, partner agencies, staff and external stakeholders
- Be the first point of contact for residents and partner agencies for a wide range of tenancy matters and encourage resolutions before escalation
- Communicate with partner agencies regarding any residents who may require extra support to remain successfully housed
- Respond in a timely manner to all enquiries and tenancy/resident activities
- Coordinate with partner agencies to fill vacancies in a timely manner
- Process all lease/membership applications and make recommendations for approval
- Prepare and process move in packages including all required paperwork
- Facilitate the annual income renewal and asset verification process
- Ensure Lease Agreement including Rules and Regulations are applied fairly, consistently and according to the Residential Tenancies Act
- Membership and Occupancy Agreements are applied fairly and consistently
- Prepare lease expiration notices and new lease agreements
- Facilitate internal transfers according to established policies and procedures
- Prepare and deliver a variety of correspondence and reports; examples include: notice to enter, lease renewals, warning notices, and eviction notices
- Prepare and process move out packages and security deposit refunds within required timelines
- Escalating issues to Tenant and Landlord Relations Board.
Administration
- Create, update and maintain various reports and spreadsheets relating to residents, members, agencies, vacancies or other related information
- Provide explanation, insight and recommendations on any trends relating to tenancies/memberships including, but not limited to, turnover and vacancies
- Delegate administrative tasks to support staff and provide support when needed
- Maintain a current and accurate filing system both paper and electronic
- Follow and track inquiries; respond in a timely manner and collaborate with different departments when necessary
- Maintain reports on various resident demographics such as average rent, age, length of tenancy, sources of income, etc.
- Adhere to confidentiality agreements and required privacy regulations and legislation
SKILLS AND QUALIFICATIONS:
- Minimum 4 years’ experience in a progressively responsible customer service / administrative role with an emphasis on front-line customer service
- Minimum 2 years’ experience in a role within the housing sector and/or a non-profit organization.
- Direct experience working with vulnerable populations would be an asset
- Strong commitment to providing a high level of customer service
- Excellent interpersonal skills
- Excellent verbal and written communication skills
- Ability to work in a team environment
- Must be able to meet deadlines with conflicting priorities
- Must be organized and have a high level of accuracy
- Must be able to organize, prioritize and manage workload
- Must be able to work independently with minimal supervision
- Sound knowledge of the Residential Tenancies Act
- Demonstrated initiative in responding to challenging situations
- Must have a valid driver’s license and vehicle
- Clear criminal record check
WORKING CONDITIONS:
- Office located at 171 Adelaide Street, Saint John NB
- Our regular office hours are Monday to Thursday 7:30am-5:30pm (35 hour condensed work week)
- Competitive salary that is based on experience along with benefits and paid vacation
- Occasion weekend and evening hours are required ie. board meetings, property/tenant emergencies.
