The Medical Receptionist is responsible for ensuring the quality of care and service provided to the pets and the people we care for is impeccable. You could be scheduled Monday – Thursday 8:00 am - 7:00 pm, 8:00 am - 6:00 pm Fridays, and 8:00 am – 3:00 pm Saturdays.
The ideal candidate will serve as the first point of contact for clients and patients, ensuring a smooth and welcoming experience. This role requires excellent communication skills, proficiency with medical and office software, and the ability to manage multiple responsibilities efficiently. Prior experience in medical or dental office settings, particularly with electronic medical records, is highly valued. The Veterinary Receptionist will handle appointment scheduling, patient check-ins and check-outs, and administrative tasks to support the overall operation of the clinic. Our ideal candidate is a team player who will be helping with our patient care and assisting the team with our day to day appointments and treatments. You will be scheduled for an average or 35-40 hours per week, including some evenings and a rotation of Saturdays.
Job Duties
- Welcomes and supports clients and pets, adapting responses to reflect the situation.
- Efficiently and accurately performs clerical and reception duties, client and in-patient intake and discharge duties, schedules appointments, answers questions, and maintains front office and exam room flow.
- Acts as the liaison between clients and medical team and relays all necessary information timely and correctly. Identifies and addresses any issues.
- Sends client communications such as welcome letters, sympathy cards, and newsletters in accordance with clinic protocols & approved timelines.
- Correctly enters client and patient information into PIMS and confirms it’s up-to-date at every visit.
- Tracks new clients/patients, frequency of visits, and meets predetermined goals for appointment and surgery fill rates.
- Assists in monitoring inventory of office supplies, prescription food and retail times that adheres to PMs guidelines. Makes efficient use of drugs and supplies.
- Identifies questionable or missed fees, and ensures that owners meet all financial obligations. Accurately performs daily invoicing, cash management and reconciliation.
- Is able to diffuse client conflict in a professional, hospitable and tactful manner. Escalates/refers when appropriate to Team Leader or Practice Manager.
- Manage multi-line phone systems to schedule appointments, answer inquiries, and relay messages
- Maintain accurate electronic medical records using systems such as Cornerstone or something equivalent.
- Assist with patient check-in and check-out processes, including updating medical histories and billing information
- Ensures smooth communication throughout a client's visit. Acts as the liaison between clients and the veterinary team and relays all necessary information timely and correctly. Identifies and addresses and issues.
- Routinely contributes to the cleanliness and organization of the practice, to ensure all guests leave with a lasting positive impression.
- Greets, handles, and treats people and pets with kindness, compassion, patience, and skill using Fear Free Techniques. Nurtures and environment that makes them feel safe and secure.
- Follows fee schedules and medical record SOPs to ensure all treatments, drugs, and procedures are recorded and charged appropriately.
- Coordinate appointment scheduling for veterinary services and follow-up visits
- Handle administrative tasks such as data entry, filing, and managing office supplies
- Support clinic operations by performing other clerical duties as needed
Requirements
- Previous experience in a medical, veterinary, or dental office environment preferred; experience with electronic medical records systems such as Cornerstone or equivalent is highly desirable
- Strong knowledge of medical terminology relevant to veterinary or healthcare settings
- Office experience with front desk responsibilities, multi-line phone systems, and administrative tasks required
- Excellent communication skills, both verbal and written
- Ability to handle multiple priorities efficiently in a fast-paced environment
- Professional demeanor with a friendly attitude towards clients and team members
- Familiarity with veterinary receptionist duties or veterinary office experience is a plus but not required
- Strong organizational skills and attention to detail are essential
