Key Responsibilities
- Coordinate day-to-day office administration, including document management, office supplies, meeting arrangements, internal communications, and general office support.
- Manage employee onboarding and offboarding, including employment documentation, orientation, system access, and company property returns.
- Maintain accurate and confidential employee records, attendance records, leave records, and other employee documentation.
- Collect and organize employee time and attendance records to support payroll preparation and administration.
- Coordinate with external staffing agencies to support temporary warehouse staffing needs, including workforce requests, daily staffing coordination, attendance follow-up, and invoice reconciliation.
- Support recruitment for permanent positions, including management, office, logistics, and other non-temporary roles, when required.
- Post job openings, screen applications, coordinate interviews, communicate with candidates, and support the hiring process.
- Provide basic HR administrative support, including employee inquiries, benefits administration, employment documentation, and general HR coordination.
- Support workplace safety administration, incident documentation, and WSIB-related paperwork when required.
- Maintain and administer company HR and administrative policies, procedures, and records.
- Communicate and coordinate with the overseas headquarters on HR, administrative, and other operational matters.
- Support company events, employee activities, and other administrative projects as assigned.
- Provide general administrative and coordination support to management as required.
About the Role
This is a standalone administrative role responsible for supporting the company's day-to-day office administration and basic HR functions. The successful candidate will work independently, manage multiple priorities, and coordinate closely with management, warehouse operations, external staffing agencies, and the company's overseas headquarters.
Fluency in both English and Mandarin is highly preferred due to frequent communication with overseas teams and management.
