Position Summary
As the first point of contact for our students, visitors, agents, and partners, you will play a critical role in creating an outstanding student experience while supporting the daily administrative operations of the school.
The successful candidate will be professional, punctual, proactive, and highly organized with excellent communication and customer service skills.
Key Responsibilities Front Desk & Reception
- Welcome students, visitors, agents, and guests in a professional and friendly manner.
- Answer and direct phone calls, emails, and walk-in inquiries.
- Maintain a professional, organized, and welcoming reception area.
- Receive and distribute mail, deliveries, and courier packages.
- Manage visitor sign-in procedures and campus information requests.
Student Services Support
- Assist students with general inquiries regarding classes, schedules, school policies, and campus resources.
- Support student orientations and intake procedures.
- Prepare enrollment packages, student letters, and certificates.
- Assist with graduation documentation and student records.
- Support admissions and student services teams during peak periods.
- Create student ID cards
Administrative Duties
- Maintain accurate digital and physical filing systems.
- Scan, upload, and organize student documents.
- Verify forms and documentation for completeness and accuracy.
- Generate reports, class lists, attendance records, and other administrative documents.
- Monitor office supply inventory and place orders as needed.
- Maintain confidentiality of student and staff information.
Campus Operations
- Open and prepare the reception area before student arrival.
- Ensure common areas remain clean, professional, and organized.
- Assist with student activities, events, and campus projects.
- Coordinate meeting room bookings and schedules.
- Support management with various operational and administrative projects.
Marketing & Design Support (Asset)
- Assist with creating and updating student notices, posters, event flyers, and promotional materials.
- Support social media content creation and basic graphic design projects.
- Update digital signage and marketing materials using Canva or similar design software.
- Assist with photography and content collection during student events when required.
Qualifications Required
- Minimum 1 year of experience in reception, administration, customer service, student services, or a similar role.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Strong attention to detail and accuracy.
- Professional and customer-focused attitude.
- Ability to work independently and prioritize tasks effectively.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
Preferred
- Experience working in an educational institution, college, language school, or student-facing environment.
- Experience working with international students.
- Experience using student management systems or databases.
- Experience with Canva, Adobe Creative Suite, or similar graphic design tools.
- Additional language skills such as Spanish, Japanese, Korean, Mandarin, Portuguese, or French.
